After an exam, marks need to be recorded for every student. The Assessment Result Tool lets you enter marks for an entire class in one form, rather than opening separate records for each student. Grades are calculated automatically as soon as you enter the scores.

Before You Start

Before entering results:
  • The Assessment Plan must exist and be in Submitted status
  • Students must be in the correct Student Group
  • Assessment Criteria must be set up in the Assessment Plan

How to Enter Results Using the Assessment Result Tool

  1. Go to Education workspace → Tools card → Assessment Result Tool
  2. Select the Assessment Plan you are entering results for
  3. The tool loads all students in the group with a marks input row for each
  4. Enter each student’s score for each Assessment Criteria column
  5. The system calculates the total score and letter grade automatically as you type
  6. Review all entries for accuracy
  7. Click Submit

How Grades Are Calculated

When you enter marks, the system:
  1. Adds up all the criteria scores to get the total score
  2. Calculates the percentage (total ÷ maximum assessment score × 100)
  3. Looks up the percentage in the Grading Scale linked to the Assessment Plan
  4. Assigns the corresponding grade letter
You do not calculate grades manually - the system does it for you the moment you enter the scores.

Entering Results One Student at a Time

If you prefer to enter results individually, or need to add a result for a student who was not in the batch result entry:
  1. Go to Education workspace → Assessment card → Assessment Result
  2. Click New
  3. Select the Assessment Plan and Student
  4. Enter marks in the Details table - one row per Assessment Criteria
  5. Click Submit

Generating Report Cards

Once results have been entered and submitted, you can generate official report cards for distribution:
  1. Go to Education workspace → Assessment Reports card → Student Report Generation Tool
  2. Select the Student Group and the Assessment Plan (or Assessment Group)
  3. Select the output format
  4. Click Generate Reports
  5. Print or download the generated report cards
Report cards can be given to students directly, sent home with guardians, or filed in the registrar’s office as official records.

Correcting a Result

If you submitted a result with an error:
  1. Go to Education workspace → Assessment card → Assessment Result
  2. Find and open the incorrect result record
  3. Click Cancel to move it back to draft
  4. Make the correction
  5. Click Submit again

Best Practices

Enter results on the same day marks are finalised. Delays lead to misplaced mark sheets and data entry errors. Process results while the numbers are fresh. Double-check totals before submitting. The Assessment Result Tool calculates automatically, but verify the totals match your physical mark sheet before clicking Submit. Generate report cards only after all results are entered. If you generate report cards before all subjects are complete, some students will have incomplete records. Wait until all Assessment Plans for the term are submitted. Use the Assessment Plan Status report to track completion. Before the results board meeting, run the Assessment Plan Status report to confirm all plans have results. Chase any outstanding submissions with the responsible instructors.

Troubleshooting

Assessment Plan not appearing in the Result Tool: The plan must be in Submitted status (not Draft). Open the Assessment Plan and click Submit first. Grade is not being calculated: The Assessment Plan must have a Grading Scale linked. If the Grading Scale field is blank on the plan, no grades will be computed. Cannot find a student in the Assessment Result Tool: Verify the student is in the Student Group linked to the Assessment Plan. Students not in the group will not appear. Result cannot be submitted - error on save: Check that all required fields are filled in (Assessment Plan and Student are mandatory). Also ensure each criteria row in the Details table has a score entered.
