This page explains how College Management is laid out in Bizaxl and how your team interacts with it every day. Whether you are an admissions officer starting your morning, an instructor about to take attendance, or a finance officer running the monthly fee collection - here is where everything lives and how to get to it quickly.

Where You Start: The Education Workspace

When you open Bizaxl and click Education in the left-side menu, you land on the Education Workspace. This is the home base for College Management. The workspace is designed so that the most common daily tasks are right at the top, and the full record and report library is just below, organised into labelled cards.

Section 1: Shortcuts (Top of Workspace)

The top section of the workspace contains 8 shortcuts - live tiles that give you one-click access to the most frequently used records and tools. Each shortcut shows a count of relevant records so you know the current situation without opening anything. How to use shortcuts daily:
  • Check Student shortcut to verify active student count is correct
  • Check Sales Invoice shortcut to see how many fee invoices are outstanding - this is your daily fee collection indicator
  • Use Student Attendance Tool and Course Scheduling Tool shortcuts to go directly to the tools you use every day

Section 2: Reports & Masters Cards

Below the shortcuts, all records and reports are organised into 14 labelled cards. Each card groups related items together. Click the card heading to expand it and see all links inside.

Student Management Card

Contains all student-related records: Student, Student Group, Student Category, Student Batch Name, Programme Enrolment, Course Enrolment, Student Log, Guardian Who uses it daily: Admissions officers and registrars

Academics Card

Contains: Academic Year, Academic Term, Programme, Course, Topic, Course Schedule, Course Activity Who uses it daily: Academic administrators setting up the calendar and curriculum

Admissions Card

Contains: Student Applicant, Student Admission Who uses it daily: Admissions team during intake periods

Assessment Card

Contains: Assessment Plan, Assessment Criteria, Assessment Group, Assessment Result, Grading Scale Who uses it daily: Instructors during exam periods; admin staff at result-entry time

Fee Management Card

Contains: Fees, Fee Structure, Fee Category, Sales Invoice, Sales Order Who uses it daily: Finance and accounts team

Attendance Card

Contains: Student Attendance, Student Leave Application Who uses it daily: Instructors and administrators for corrections and leave reviews

Tools Card

Contains: Programme Enrolment Tool, Student Group Creation Tool, Student Attendance Tool, Student Report Generation Tool, Assessment Result Tool, Course Scheduling Tool Who uses it: Administrators at the start of each academic year and during bulk operations

Setup Card

Contains: Instructor, Room Who uses it: Administrators when onboarding new instructors or adding teaching spaces

Settings Card

Contains: Education Settings Who uses it: System administrator during initial setup and at the start of each academic year

Content Masters Card

Contains: Article, Video, Quiz Who uses it: Academic staff creating learning content linked to topics (used with LMS)

Assessment Reports Card

Contains: Course Wise Assessment Report, Final Assessment Grades, Assessment Plan Status, Student Report Generation Tool Who uses it daily: Instructors and academic administrators during and after assessment periods

Fee Reports Card

Contains: Student Fee Collection, Programme Wise Fee Collection Who uses it daily: Finance officers monitoring collection; management for revenue reporting

Attendance Reports Card

Contains: Absent Student Report, Student Monthly Attendance Sheet, Student Batch-Wise Attendance Who uses it daily: Instructors and pastoral staff monitoring attendance

Other Reports Card

Contains: Student and Guardian Contact Details Who uses it: Admissions and communications teams

Daily Workflows by Role

Admissions Officer - Daily Routine

  1. Open Education workspace
  2. Go to Admissions card → Student Applicant to see today’s new applications
  3. Open each pending application, review, and update status to Approved or Rejected
  4. For approved applicants, click Create Student to convert them to enrolled students
  5. Check Student shortcut to confirm student count reflects new admissions

Academic Administrator - Start of Term

  1. Open Education workspace
  2. Go to Settings card → Education Settings - confirm the current Academic Year and Term are correct
  3. Go to Tools card → Student Group Creation Tool - generate student groups for the new term
  4. Go to Tools card → Course Scheduling Tool - generate class schedules for each group
  5. Go to Tools card → Programme Enrolment Tool - advance returning students into the new year

Instructor - Every Class

  1. Open Education workspace
  2. Click Student Attendance Tool shortcut at the top
  3. Select the student group and today’s session
  4. Mark absent students and click Submit
  5. Return to workspace - done in under a minute

Finance Officer - Billing Run

  1. Open Education workspace
  2. Go to Fee Management card → Fee Schedule → New
  3. Select the Fee Structure, set the due date, add student groups
  4. Submit - fee invoices are created and emails are sent automatically
  5. Go to Fee Reports card → Student Fee Collection to monitor payments
  6. Check Sales Invoice shortcut daily for outstanding balance count

Management - Performance Review

  1. Open Education workspace
  2. Go to Attendance Reports card → Student Batch-Wise Attendance - check group attendance rates
  3. Go to Assessment Reports card → Final Assessment Grades - review grade distribution
  4. Go to Fee Reports card → Programme Wise Fee Collection - review fee income by programme

The Course Schedule Calendar

The Class Schedule Calendar is the most visual part of College Management. It shows all scheduled sessions as colour-coded blocks across a weekly or monthly grid. To open it:
  1. Go to Academics card → Course Schedule
  2. In the list view toolbar, click the Calendar icon
The calendar lets you:
  • Switch between Day, Week, and Month views
  • Click any session to open the Course Schedule record
  • Filter by Student Group or Instructor using the sidebar filters

Role-Based Visibility

Access to records and features in College Management is controlled by user roles: Your system administrator assigns these roles to user accounts. A staff member may have multiple roles - for example, an administrator might have both Academics User and Accounts User roles.
You can find any record in College Management without navigating through the workspace. Click the search bar at the top of the screen and type any of the following:
  • A student’s name → opens their Student record
  • A programme name → opens the Programme record
  • A course name → opens the Course record
  • A fee schedule name → opens the Fee Schedule
  • Any report name → opens that report
This is the fastest way to jump to a specific record when you already know what you are looking for.
