Accessing Reports
All reports are accessible from the Education workspace under the following cards:- Assessment Reports card - Course Wise Assessment Report, Final Assessment Grades, Assessment Plan Status, Student Report Generation Tool

Attendance Reports
Absent Student Report
What it answers: Which students were absent on which days within a given period? Who uses it: Academic administrators and pastoral staff monitoring attendance concerns; instructors reviewing their class attendance. Business purpose: Identifies students with attendance patterns that may require intervention - repeated absences, absences on specific days, or absences following a leave application gap. Typical use case: A pastoral coordinator runs this report every Monday morning to see which students were absent the previous week. Student Monthly Attendance Sheet
What it answers: What was a student’s (or group’s) attendance record for each day of a specific month? Who uses it: Instructors, academic administrators, and parents reviewing attendance for a specific student or class. Business purpose: Provides a complete picture of one month’s attendance in a grid format - each day across the top, each student down the side, with Present (P), Absent (A), or On Leave (L) in each cell. Used for formal attendance records, parent meetings, and regulatory reporting. Typical use case: At the end of each month, the registrar generates Monthly Attendance Sheets for each student group and files them. Parents requesting attendance records receive this report as the official document. Student Batch-Wise Attendance
What it answers: What is the attendance rate for each student group or batch over a period? Who uses it: Academic administrators and management comparing attendance performance across groups, batches, or programmes. Business purpose: Summarises attendance at the group level rather than individual level - showing what percentage of sessions each group attended. Useful for spotting groups with systematically low attendance (which may indicate a scheduling problem, an instructor issue, or a cohort at risk). Typical use case: The academic director reviews this report at the end of each term to identify which student groups have attendance below 75% and investigates reasons. Assessment Reports
Course Wise Assessment Report
What it answers: How did each student perform in assessments for a specific course? Who uses it: Instructors reviewing class performance; academic administrators preparing results for publication. Business purpose: Shows all assessment results for a course grouped by student, with scores and grades. Helps identify students who performed poorly and may need additional support, and students who excelled and may be candidates for recognition. Typical use case: After final exams, the course instructor runs this report to see the full grade distribution for their class before submitting results to the registrar. Final Assessment Grades
What it answers: What is each student’s final aggregated grade across all assessments in a term or year? Who uses it: Registrar’s office for generating final results; academic administrators for progression decisions. Business purpose: Aggregates all assessment results for each student within a period to produce a summary view of their academic performance. Used for making progression, award, and intervention decisions. Typical use case: At the end of a semester, the registrar runs Final Assessment Grades for all student groups. Students falling below the pass threshold are reviewed by the academic board. Assessment Plan Status
What it answers: Which assessment plans have been completed (results entered) and which are still pending? Who uses it: Academic administrators tracking whether all scheduled assessments have been marked and results entered. Business purpose: Provides an overview of whether instructors have completed their marking and result entry. Prevents results from being left incomplete at the end of term. Typical use case: Two weeks before the end of term, the registrar runs Assessment Plan Status to see which planned assessments still have no results entered. Student Report Generation Tool
The Student Report Generation Tool is not a standard report but a document generator. It produces a formatted grade report card for one or more students, suitable for printing and distributing. Where to access: Education workspace → Assessment Reports card → Student Report Generation Tool How to use:- Select the Student Group, Programme, Academic Year, and Term.
- Click Generate Report.
- Bizaxl produces print-ready report cards for each student in the group.
Fee Reports
Student Fee Collection
What it answers: For each student, what is the total fee charged, how much has been paid, and what is the outstanding balance? Who uses it: Finance officers monitoring payment progress; accounts managers chasing overdue balances. Business purpose: The primary tool for tracking fee collection. Shows the payment status of every student in a selected period, enabling accounts staff to identify who has paid, who has partial payments, and who has paid nothing. Typical use case: The accounts officer runs this report every Friday to produce a list of students with outstanding balances, then sends follow-up emails or calls the relevant guardians. Programme Wise Fee Collection
What it answers: How much has been collected from each programme, and what is the outstanding balance per programme? Who uses it: Finance managers and institutional leadership reviewing revenue by programme. Business purpose: Summarises fee collection at the programme level for financial reporting and forecasting. Shows which programmes are collecting well and which have high outstanding balances. Typical use case: At the end of each month, the finance manager runs this report to include in the management accounts - showing fee income by programme and the percentage collected vs. invoiced. Student and Guardian Contact Details
What it answers: What are the contact details (phone, email) for all students and their guardians? Who uses it: Admissions staff, academic administrators, and pastoral coordinators who need to contact students or parents. Business purpose: Provides a master contact list for the institution - student email, mobile, and linked guardian contact details in one downloadable view. Used for communication, emergency contacts, and parent communication. Typical use case: At the start of term, the admissions team exports this report to verify all student records have valid contact details before the academic year begins. Exporting Reports
All reports can be exported:- Run the report with your desired filters.
- Click Menu (the three-dot or hamburger icon) in the report toolbar.
- Select Export → choose Excel or CSV.
- The file downloads automatically.
Best Practices
- Run attendance reports weekly, not monthly - catching attendance problems early is more effective than discovering them at the end of term.
- Use Assessment Plan Status before term ends - this is the only way to know which assessments are still incomplete without checking each one individually.
- Bookmark frequently used reports - Bizaxl allows you to save report filter settings as a default view. Set your standard filters (current year and term) once and save them.
- Export Student and Guardian Contact Details at the start of each term - having an offline copy ensures you can contact families if system access is unavailable.
