Admissions is where every student’s journey begins. The admissions module gives you a structured intake pipeline: open an admission round, receive applications (online or walk-in), review them, and convert approved applicants into student records with a single click.

Before You Start

Before running an admission round, ensure:
  • Academic Year exists in the system (required for Student Admission records)
  • Programme records are set up (students apply to a specific programme)
  • If using the online application form, your institution’s website must link to the admissions page

Key Records in Admissions

Student Admission - The overarching intake record. You create one per programme, per intake round. It defines when applications are open and can publish an application form on your website. Student Applicant - One record per applicant. Created either by the applicant themselves (online) or by staff (manual entry). Holds all the applicant’s details and moves through a status workflow (Applied → Approved → Admitted).

Quick Start - Running an Admission Round

Create the Admission Round

Go to Education workspace → Admissions card → Student Admission → New. Set the programme, academic year, and application dates.

Receive Applications

Share the admissions link with applicants, or enter walk-in applications manually via Student Applicant → New.

Review Applications

Go to Student Applicant → filter by status “Applied” → open each application → Approve or Reject.

Create Student Records

For each approved applicant, click the “Create Student” button → review details → Save.

Add Guardian Details

On each new student record, go to the Guardians tab and add parent/guardian contact information.

Proceed to Enrolment

The student is now ready for Programme Enrolment. See Academic Management → Programme Enrollment.
