Before you start
You need an active CA Engagement for the company whose registers you are maintaining. The company type should be Private Limited, OPC, LLP, or Startup: these entity types have statutory register requirements under the Companies Act or the LLP Act.Register types
The system supports the following register types:Step-by-step: create or update a statutory register
1. Open the register record Go to Corporate Law and ROC in the workspace and click CA Statutory Register. Click New to create a new register entry, or open an existing record to update it. 2. Select the engagement and register type Link the record to the correct CA Engagement and choose the Register Type from the list. 3. Upload the current register file Attach the register file (Excel, PDF, or Word) in the Register File field. The system stores this as a versioned attachment: when you upload a new file, the previous version is retained in the version history. 4. Update the version and date fields Set the Version label (for example, “v3” or “Updated Apr 2026”) and confirm the Last Updated date. Record the Updated By user so there is a clear audit trail. 5. Add remarks if needed Use the Remarks field to note what changed in this version (for example, “Two new shareholders added after March 2026 allotment” or “CHG-1 satisfied and removed from charges register”). 6. Save the record Click Save. The register is now available for the secretarial audit, ROC inspection, or AGM.

Connection to secretarial audit
When you conduct a CA Secretarial Audit, the checklist includes verifying that all statutory registers are maintained and up to date. The CS Executive refers to the register records in the system to confirm compliance. If a register has not been updated within the financial year, it will appear as a gap in the audit checklist and may result in a qualification in the audit report.Best practices
- Keep every register up to date within 30 days of any event that requires an entry (allotment, director appointment, charge creation, etc.)
- Use descriptive version labels (for example, “v2 post-Sept 2025 AGM”) rather than just numbers so anyone can identify the version at a glance
- Always upload a PDF version as the primary file alongside the working Excel, since PDFs cannot be inadvertently edited
- Review all registers before the AGM to check they are current; this is a standard agenda item at the pre-AGM partners meeting
- Retain all older versions: regulators may ask for historical snapshots during inspections
- For the Members Register (MGT-1), reconcile the entries against the share certificates issued after each allotment round
Notifications and alerts
There are no automated reminder notifications specific to statutory registers. The CS Executive is responsible for updating registers promptly after each triggering event. The Secretarial Audit checklist serves as the periodic review mechanism: a register that has not been updated will appear as non-compliant during the audit.Workspace access
