Patient Records

Who uses it: Receptionist, Healthcare Administrator Every person who visits the centre is registered as a patient. The patient record holds their name, age, contact number, medical conditions, allergies, and a full history of every test and scan done at the centre. When a patient returns for a repeat investigation, all their previous results are immediately available. Connects to: All other modules. Every appointment, every scan, every test, every report is linked to a patient record.

Appointment Booking

Who uses it: Receptionist, Healthcare Administrator The centre offers three types of appointments:
  • Consultation - A doctor at the centre examines the patient
  • Scanning - The patient is booked for a scan (CT, MRI, USG, or X-ray)
  • Lab Test - The patient is booked for a blood test or other lab investigation
Each appointment type has its own duration and billing item. When an appointment is saved, the patient receives an automatic SMS confirmation. Connects to: Patient Encounter (for consultations), Clinical Procedure (for scans), Lab Test (for lab appointments), Billing.

Doctor Consultation

Who uses it: Healthcare Practitioner (Physician, Radiologist) When the centre’s own doctor sees the patient, they open a Patient Encounter and record the examination findings, the patient’s complaint, the diagnosis, and the investigations ordered (scans and blood tests). For walk-in patients who do not have a referral, the consultation is typically the starting point. Requires: A booked consultation appointment. Connects to: Scan orders (Clinical Procedure), Lab orders (Lab Test), Prescriptions, Billing.

Imaging Scans (Clinical Procedures)

Who uses it: Radiology Technician (Nursing User), Radiologist The four scan types available at the centre are:
  • CT Scan (Computed Tomography) - detailed cross-section images of the body (brain, chest, abdomen)
  • MRI Scan (Magnetic Resonance Imaging) - detailed images of soft tissues, brain, joints
  • Ultrasound (USG) - real-time sound-wave imaging for abdomen, pregnancy, thyroid
  • X-Ray - bone and chest imaging
Each scan is documented as a Clinical Procedure record. After the scan is taken, the result image is attached directly to the record using the Result Image field. The radiologist then reviews the images and adds their clinical findings. Requires: A Clinical Procedure Template for each scan type. A scan room (service unit) must be assigned. Connects to: Result image attachment, Diagnostic Reports, Billing.

Blood Tests and Laboratory

Who uses it: Laboratory User, LabTest Approver Lab tests are ordered from a consultation or booked as a direct appointment. The phlebotomist collects the patient’s blood sample, a Sample Collection record is created to track the sample, and the result is entered after laboratory processing. Results can have images attached (for scans of test strips, gel electrophoresis, etc.). Results must be approved by a senior clinician before they are shared with the patient. Current lab tests available:
  • H1B1 Test (blood)
  • Hemoglobin Test (blood)
Requires: Lab Test Templates. A lab unit (service unit) must be assigned. Connects to: Sample Collection, Specimen, Diagnostic Reports, Billing.

Sample Collection

Who uses it: Laboratory User When a blood test is ordered, a Sample Collection record tracks the sample from the moment it is collected. It records who collected the sample, when it was collected, the type of sample (venous blood, capillary, urine), and the status (collected, sent to lab, received). This ensures traceability from collection to result. Requires: A Lab Test to be ordered. Connects to: Lab Test, Specimen.

Diagnostic Reports

Who uses it: Radiologist, Senior Physician A Diagnostic Report is the formal document that compiles findings from one or more investigations. It includes the clinical context, the investigation performed, the findings, and the radiologist’s or physician’s conclusion and recommendation. This is the document that gets shared with the referring doctor and the patient. Requires: At least one completed scan or lab test. Connects to: Observations, Clinical Procedures, Lab Tests. Shareable through the patient portal.

Observations

Who uses it: Radiologist, Laboratory User Observations capture structured data points from an investigation - for example, the image from a scan attached as a file. The Observation Template called “Lab Test” is configured to accept an attached image. Observations feed into Diagnostic Reports and appear in the patient’s history timeline. Connects to: Diagnostic Reports, Patient History.

Medical Consumables and Stock

Who uses it: Radiology Technician, Healthcare Administrator Every scan uses physical consumables. X-Ray scans use film. CT and MRI scans with contrast use contrast dye and IV cannulas. Ultrasound scans use ultrasound gel. All staff wear protective equipment (lead aprons, gloves, surgical masks). These items are tracked in the stock system and deducted automatically when a scan procedure is submitted. Current consumables tracked:
  • X-Ray Film 10x12 and 14x17 (for X-ray)
  • Ultrasound Gel (for USG)
  • Contrast Dye (for CT / MRI with contrast)
  • IV Cannula (for contrast injection)
  • Lead Apron (radiation protection)
  • Disposable Gloves, Surgical Mask, Surgical Cap, Shoe Covers (PPE)
  • Disinfectant Solution, Hand Sanitizer (infection control)
  • Syringe 5ml, Needle 23G (for blood sample collection or contrast injection)
  • Cotton Roll, Gauze Pads (for blood collection sites)
Connects to: Clinical Procedures (consumables deducted on submission).

Billing and Finance

Who uses it: Receptionist, Healthcare Administrator Every service is billed: consultations, scans, lab tests, and any consumables invoiced separately. The system shows which completed appointments and procedures have not yet been invoiced. Scan fees are:
  • X-Ray: ₹2,000
  • Ultrasound: ₹1,500
  • CT Scan: ₹10,000
  • MRI Scan: ₹15,000
Connects to: All clinical records (every service generates a billing entry).

Pharmacy

Who uses it: Pharmacist A POS pharmacy counter is available at the centre for dispensing basic medicines (such as Paracetamol for patients in pain while waiting for their scan). The pharmacy operates as a separate point-of-sale station. Connects to: Billing (POS Invoice), Stock (medicines deducted on dispensing).

Automated Notifications

Who uses it: System (runs automatically)
  • Appointment Confirmation SMS - sent when any appointment is booked
  • Appointment Reminder SMS - sent a configurable time before the appointment
  • Lab Result SMS - sent when a lab result is printed or emailed after approval

Reports and Dashboard

Who uses it: Centre Manager, Healthcare Administrator Four dashboard charts track operational performance:
  • Patient Appointments (volume over time)
  • Clinical Procedures (scan volume by type)
  • Clinical Procedures Status (how many scans are in progress vs completed)
  • Lab Tests (blood test volume)
Number cards show live counts: Total consultations, Total Patients, Open Appointments, Appointments to Bill.
