Centre settings are configured once during initial setup and updated as the centre grows. Most settings require the Healthcare Administrator role.

Practitioners

Each doctor, radiologist, and technician who performs clinical work at the centre must be set up as a Healthcare Practitioner. Go to Masters > Healthcare Practitioner and click New. Click Save.

Practitioner Schedules

To allow appointment booking for a specific practitioner, their weekly availability must be configured. Go to Masters > Practitioner Schedule and click New.
  1. Give the schedule a name (e.g., “Radiologist - Monday to Friday”).
  2. Add rows for each working period: select the day, start time, and end time.
  3. Set the appointment slot duration (in minutes).
  4. Link this schedule to the Healthcare Practitioner record.

Service Units (Rooms and Labs)

Every room at the centre must be set up as a Healthcare Service Unit. Go to Consultation > Healthcare Service Unit and click New. Current service units at the centre: Consultation Room -001 to -003, MRI -001, MRI-002, MRI-1-0001 to MRI-1-0004, CT room -001, CT room -002, Lab Test unit.

Appointment Types

The three appointment types (Consultation, Scanning, Lab Test) define the duration and billing item for each type of visit. Go to BAS > Healthcare > Appointment Type and click an existing type to edit it, or click New to add a type.

Clinical Procedure Templates (Scan Setup)

Each scan type must have a Clinical Procedure Template that defines the fee and the consumables deducted when the scan is submitted. Go to Clinical Procedure > Clinical Procedure Template and click an existing template to review or click New. Current templates: CT Scan, MRI Scan, Ultrasound, X-Ray (all in the Radiology department).

Lab Test Templates

Lab test templates define what parameters each blood test measures, what units are used, and what the normal reference ranges are. Go to Lab Test > Lab Test Template and click an existing template or click New.

Observation Templates

Observation templates define the structured data points captured during an investigation. The key observation template at this centre is “Lab Test” which accepts an image attachment. Go to Orders > Observation Template to view and configure these.

SMS Notifications

The centre sends automatic SMS messages for:
  • Appointment confirmations (sent on save)
  • Appointment reminders (sent on a schedule)
  • Lab result notifications (sent after result approval)
SMS settings are configured in BAS > Settings > Notification or in the SMS Center settings. Contact your system administrator to configure the SMS gateway credentials.

Nursing Checklist Templates

Pre-scan checklists for MRI safety screening, contrast allergy checks, and patient consent can be set up as Nursing Checklist Templates. Go to Nursing > Nursing Checklist Template and click New.
  1. Name the checklist (e.g., “MRI Safety Checklist”).
  2. Add each checklist item as a Nursing Task row.
  3. The template is applied when performing the relevant Clinical Procedure.

Departments

The centre’s departments determine how practitioners, scan rooms, and lab units are organised. Go to Masters > Medical Department to view or add departments. Current departments include:
  • Radiology (for all scan types)
  • Pathology, Haematology, Biochemistry, Microbiology, Cardiology (for lab tests)
  • Neurology, Orthopaedics, Obstetrics, Gynaecology (for consultation specialties)

Billing and Tax Configuration

For GST configuration, payment methods, and accounts, refer to the shared BAS documentation. These settings apply at the company level and affect all transactions for Scan Centre 1.

Best Practices

  • When adding a new scan room, set up the Healthcare Service Unit and the Service Unit Type before creating any appointments for that room. Appointments booked without a valid service unit cannot be assigned to a room.
  • Review lab test templates annually to ensure reference ranges are current. Haemoglobin reference ranges differ by age and sex; confirm the template reflects the most current clinical guidelines.
  • When a radiologist joins or leaves the centre, update their Practitioner Schedule immediately. Leaving a departed practitioner’s schedule active will allow appointments to be booked for someone who is no longer available.
  • Test SMS notifications after any changes to the SMS gateway configuration. Send a test appointment to your own mobile number to confirm delivery.
