Downtime Tracking records every unplanned stoppage at a workstation or machine. When a machine breaks down, runs out of materials, or stops for any other reason, the operator creates a Downtime Entry. Over time, these records build a dataset that reveals which machines fail most often, which failure reasons are most costly, and where maintenance investment will deliver the greatest return.

Creating a Downtime Entry

Open Downtime Entry

Go to the Manufacturing workspace and click Downtime Entry from the Production card.

Create a new entry

Click New.

Select the workstation

In the Workstation / Machine field, select the machine or station that stopped.

Enter the start and end time

Enter the From Time (when the machine stopped) and To Time (when it restarted). The system calculates the Downtime duration in minutes automatically.

Assign the operator

Select the Operator who was working at the machine when the stoppage occurred. This creates accountability and allows further investigation if needed.

Select the stop reason

Choose the Stop Reason from the list. Common reasons include:
  • Machine Breakdown
  • Material Shortage
  • Quality Issue
  • Changeover / Setup
  • Scheduled Maintenance
  • Power Failure
  • Operator Absence

Add remarks (optional)

Use the Remarks field to describe what happened in more detail. Good remarks help maintenance teams understand the root cause.

Save the entry

Click Save. The Downtime Entry is recorded.

Downtime Analysis Report

The Downtime Analysis report is the primary tool for reviewing machine stoppages. Find it in the Manufacturing workspace under the Reports card. It shows:
  • Total downtime by workstation
  • Downtime broken down by stop reason
  • Trend over a date range
  • Impact on overall production availability
Use this report to identify:
  • Which machines have the highest total downtime
  • Whether certain failure reasons are recurring (suggesting a systemic issue)
  • Whether downtime is increasing over time

Last Month Downtime Analysis Chart

The Last Month Downtime Analysis dashboard chart is available on the Manufacturing dashboard. It summarises all downtime from the previous month by reason, giving management a quick view of the previous month’s machine availability without opening the full report.

Best Practices

Record downtime immediately when a machine stops. The longer the delay, the less accurate the from time will be. Inaccurate times mean the total downtime figures are unreliable. Choose the correct stop reason. Generic reasons like “machine fault” are not useful for analysis. Configure specific reasons that reflect the actual failure modes in your plant. The better the categorisation, the more actionable the Downtime Analysis becomes. Record brief stoppages too. It is tempting to skip recording a 5-minute stoppage. But if a machine has 20 such stoppages a day, that is 100 minutes of lost production. Consistent recording of all stoppages — even short ones — gives an accurate picture. Use remarks for investigation. If the maintenance team needs to investigate a repeat failure, detailed remarks from the operator are often the fastest way to understand what happened and when it started. Review downtime weekly in supervisor meetings. A weekly review of the Downtime Analysis report ensures that recurring problems are escalated and addressed before they cause major production disruptions.

Troubleshooting

The downtime calculation is zero: Check that both From Time and To Time are entered and that the To Time is after the From Time. The workstation I need is not in the list: The workstation may not be configured in the Workstation record. Ask your administrator to add it. I cannot find the Downtime Entry I just created: Check the list view filters. New entries may be filtered out if the list is set to show only a specific date range.
