# Workflow Overview

> The complete business journey in the Footwear Retail POS from store opening to store closing, including every role and every step.

This page shows the complete daily workflow in your footwear store from the moment you open the till to the moment you close it at night. Every step, every role, and every connection between them is explained here.

## Phase 1: Before the Store Opens (Admin)

**Who does this:** Store Owner or POS Admin

This happens once when the store is first set up, and again whenever you add new products, change prices, or change settings.

### 1.1 Configure POS Settings

The Admin opens **POS Settings** in the back-office workspace and sets:

* The store name and logo
* The Default POS Profile (which warehouse to pull stock from)
* Which features are on: loyalty, returns, offline mode, batch tracking, barcode scanner
* The return window (how many hours after a sale a return is allowed)
* Low stock threshold (when to send an alert)

### 1.2 Set Up Products and Prices

In the **Catalog and Pricing** section of the workspace:

* Items (shoes, sandals, accessories) are created with their name, item code, and category
* Item Prices are set for each product
* Pricing Rules are created for any automatic discounts (seasonal sale, bulk discounts)

### 1.3 Set Up Terminals (If Multiple Counters)

For stores with more than one billing counter, the Admin creates a **Terminal** record for each counter - giving it a name (for example, "Counter 1", "Counter 2") and assigning a POS Profile and cashier.

## Phase 2: Opening the Store (Cashier or Manager)

**Who does this:** Cashier or Store Manager

### 2.1 Log In and Open POS

The cashier logs in to Bizaxl and goes to the **PointOfSale** workspace. They tap **Open POS** to launch the terminal at `/pos`.

### 2.2 Select Terminal (If Multiple Counters)

If terminals are set up, a terminal picker appears. The cashier selects their counter (for example, "Counter 1"). This determines which POS Profile and warehouse their sales use.

### 2.3 Open the Shift

The cashier goes to the **Shift** tab and taps **Open Shift**. They enter the opening cash in the drawer (for example, ₹2,000 as the float). Card and UPI rows are locked at zero - they open electronically. The shift is now open and billing can begin.

## Phase 3: Selling (Cashier)

**Who does this:** Cashier

This is the main loop that repeats for every customer throughout the day.

### 3.1 Identify the Customer (Optional but Recommended)

The cashier taps the **customer row** at the top of the cart. A panel opens where they can:

* Search by name or mobile number
* Select an existing customer (loyalty points will be linked)
* Add a new customer on the spot with name and mobile
* Continue with Walk-in Customer (no loyalty tracking)

### 3.2 Find the Product

The cashier uses one of three methods:

* **Type** in the search bar: partial name or item code
* **Filter by category**: tap "Sports", "Formal", "Sandals" etc. to narrow the view
* **Scan barcode**: scan the barcode on the shoe box - the item is added to the cart automatically

### 3.3 Add Items to the Cart

The cashier taps the item card. It appears in the cart with quantity 1. The cashier can:

* Use the **+ / -** buttons to adjust quantity
* Type a number directly in the quantity box
* Tap the trash icon to remove an item

### 3.4 Apply a Discount (If Needed)

The cashier taps the discount toggle in the cart footer to switch between ₹ (flat amount) and % (percentage), then enters the value. The total updates instantly.

### 3.5 Charge the Customer

The cashier taps **Charge**. The Payment screen opens showing the exact amount due with tax.

The cashier:

1. Sees if the customer has loyalty points available (a star badge appears)
2. Optionally enters points to redeem
3. Enters the amount for each payment mode (Cash, Card, UPI)
4. Taps **Exact** on one row if the customer is paying the full amount that way
5. Taps **Complete Sale**

### 3.6 Print Receipt and Reset

A receipt screen appears confirming the sale. The cashier taps **Print** to print the receipt and then **New Sale** to clear the cart and start fresh for the next customer.

## Phase 4: Handling Edge Cases (Cashier)

### Parking a Cart (Held Orders)

A customer says "I'll come back - hold my shoes". The cashier taps **Hold** in the cart. The cart is saved. The cashier serves the next customer.

When the first customer returns: tap **Held** in the top navigation, find the cart, tap **Resume**. The cart is restored and the cashier can continue.

### Selling When the Internet is Down

If the Wifi icon turns orange, the POS is offline. The cashier can still:

* Search and add items (from the cached catalog)
* Accept payment (cash, card)
* Complete the sale (saved to the device)

When the internet comes back, the system syncs all queued sales automatically. The Sync tab shows a count of pending sales.

## Phase 5: Processing Returns (Manager)

**Who does this:** Store Manager

Returns are common in footwear - wrong size, defect, or change of mind. The manager goes to the **Returns** tab.

1. The customer provides the invoice number (printed on their receipt) or the date of purchase
2. The manager types the invoice number and taps **Find**
3. The original sale appears with all items
4. The manager adjusts quantities to show what is being returned (for example, if 1 pair was bought and the customer is returning it, leave quantity as 1; if only returning 1 of 2 pairs, set to 1)
5. The manager selects the refund payment method (Cash, UPI, etc.)
6. The manager taps **Process Return**

The refund is confirmed, and stock for the returned size is automatically added back.

## Phase 6: Monitoring During the Day (Manager)

The manager can check progress any time without disrupting the cashier.

### Shift Status

Tap **Shift** to see:

* Total sales value so far today
* Number of transactions

### Analytics

Tap **Analytics** to see:

* Sales, transactions, items, and tax for the day
* Which styles are selling
* Payment method breakdown

The manager can also check the **Notification Log** in the back-office for any low stock or other system alerts.

## Phase 7: Closing the Store (Cashier or Manager)

**Who does this:** Cashier or Store Manager

### 7.1 Count the Cash Drawer

Before closing, the cashier counts the physical cash in the drawer.

### 7.2 Close the Shift

The cashier goes to the **Shift** tab. The "Close Shift" form shows:

* **Cash row**: the cashier enters the counted amount
* **Card / UPI rows**: these are filled in automatically from the system's records (they auto-reconcile)

The cashier taps **Close Shift and Generate Z-Report**.

### 7.3 Review and Print the Z-Report

The Z-Report appears showing:

The cashier taps **Print** to print the Z-Report for the day's records.
