# Making a Sale

> Step-by-step guide to billing a footwear customer - from finding the right shoe to printing the receipt.

This page walks you through every step of making a sale from start to finish. Every cashier should read this before their first shift.

## Before You Start

* A shift must be open. If you see "Shift Closed" in the top bar, go to the **Shift** tab and open the shift first.
* You must be logged in with a Cashier, Manager, or Admin role.
* The POS terminal must have loaded (you see the item catalog on the left and the cart on the right).

## Step 1: Identify the Customer (Optional but Recommended)

Linking a customer to the sale records their purchase history and earns them loyalty points.

1. At the top of the cart panel, tap the customer row (it shows "Walk-in Customer" by default)
2. A customer panel opens

**To find an existing customer:**

* Type their name or mobile number in the search box
* A dropdown list appears as you type
* Tap the customer's name to select them

**To use Walk-in (no loyalty tracking):**

* Tap **Use Walk-in Customer**
* The sale proceeds without linking a customer record

**To register a new customer on the spot:**

1. Scroll down to the "Quick add" section
2. Enter the customer's name (required) and mobile number (optional)
3. Tap **Add and Select**
4. The customer is created and selected immediately - they will earn points on this sale

The customer panel closes and you return to the sell screen.

## Step 2: Find the Product

You have three ways to find the shoe you want to add.

### Search by Name or Code

1. Click inside the search bar at the top of the catalog
2. Type part of the product name or item code
3. The catalog filters to matching items instantly

### Filter by Category

1. Tap one of the category chips below the search bar (for example, **Sports**, **Formal**, **Kids**)
2. The catalog shows only items in that category
3. Tap **All** to go back to the full catalog

### Scan a Barcode

1. Hold the barcode scanner over the barcode on the shoe box
2. The system searches automatically
3. If exactly one item matches, it is added to the cart immediately
4. If multiple items match, they appear in the catalog so you can select the right one

## Step 3: Add Items to the Cart

Tap any item card to add one unit to the cart. The item appears as a line in the cart panel on the right.

**Adjust the quantity:**

* Tap **+** to add one more
* Tap **-** to reduce by one (the line is removed when quantity reaches zero)
* Tap the number in the middle and type a specific quantity

**Remove an item:**

* Tap the trash icon on the right side of the line

**Add more products:**

* Repeat Step 2 and Step 3 for each item the customer is buying

As you add items, the totals section at the bottom of the cart updates automatically showing:

* Subtotal
* Tax breakdown (GST)
* Grand Total

## Step 4: Apply a Discount (If Needed)

If you are giving a discount on this sale:

1. In the cart footer, find the **Discount** row
2. Tap **₹** for a flat rupee amount, or **%** for a percentage
3. Enter the discount value
4. The total recalculates instantly with the correct tax

Leave the discount field at zero if no discount applies.

## Step 5: Charge the Customer

When the cart is ready and the customer is ready to pay:

1. Tap the **Charge** button at the bottom of the cart
2. The system sends the cart to the server to calculate the final price, tax, and totals
3. The Payment screen opens as a pop-up

## Step 6: Take Payment

The Payment screen shows the confirmed amount due.

### Loyalty Points (If the Customer Has Points)

A gold star section appears at the top if the customer has redeemable points:

* See the number of points available and the rupee value per point
* Enter the number of points to redeem, or tap **Max** to use all available points
* The amount due reduces by the value of the redeemed points

### Enter the Payment

For each payment mode (Cash, Card, UPI), enter the amount the customer is paying in that mode:

**Paying the full amount by one method:**

* Tap **Exact** next to the payment mode to fill in the full amount due automatically

**Paying by cash (customer gives more than the total):**

* Enter the cash amount received (for example, ₹1,000 for a ₹780 sale)
* The **Change** box shows ₹220 - hand this back to the customer

**Splitting payment (part cash, part UPI):**

* Enter the cash amount in the Cash row
* Enter the UPI amount in the UPI row
* The **Paid** total must equal or exceed the **Amount Due**
* The **Due** box turns to zero when the payment is fully covered

### Complete the Sale

1. Check that the **Due** amount shows zero (or the customer has overpaid and change is shown)
2. Tap **Complete Sale**
3. The system submits the sale and stock reduces instantly

## Step 7: Print the Receipt and Start the Next Sale

A receipt screen appears confirming the sale was complete.

The receipt shows:

* Each item and quantity sold
* Subtotal, tax, discount (if any), and grand total
* Payment method and change given
* Any loyalty points redeemed

**Print the receipt:**
Tap **Print** to print on the connected receipt printer.

**Start the next sale:**
Tap **New Sale**. The cart clears. The customer panel prompts you to set the next customer. You are ready for the next person in line.

## Field Guide: Cart Panel

| Field / Button          | What It Does                                   |
| ----------------------- | ---------------------------------------------- |
| Customer row            | Shows current customer; tap to change          |
| Item name               | Name of the product in the cart                |
| Unit price              | Price per unit (from Item Price in BAS)        |
| Qty stepper             | Adjust how many units are in the cart          |
| Line total              | Unit price × quantity                          |
| Discount toggle (₹ / %) | Switch between flat and percentage discount    |
| Subtotal                | Sum of all line totals before tax and discount |
| Tax rows                | Each GST component shown separately            |
| Grand Total             | Final amount the customer pays                 |
| Hold                    | Parks the cart to Held Orders                  |
| Charge                  | Opens the Payment screen                       |

## What Happens Behind the Scenes

You do not need to know this to use the system, but it helps if something seems wrong:

* When you tap **Charge**, the system sends the cart to the server which recalculates the price using the official Item Price and applies any Pricing Rules or GST slabs. The number on the Payment screen is always the authoritative server-computed total.
* When you tap **Complete Sale**, a POS Invoice is created and submitted. Stock in the warehouse is reduced. If loyalty is on, points are added to the customer's account.
* The sale is linked to the open shift so it appears in the Z-Report at close.

## Troubleshooting

**The Charge button is greyed out**
The cart is empty, or the shift is not open. Add at least one item, and check the Shift tab.

**The Payment screen shows a different amount than the cart**
The server re-prices the cart using official prices and rules. If a Pricing Rule changed since you added the item, the server amount is correct.

**"No open shift" message appears when I tap Charge**
Go to the Shift tab and open the shift before trying to bill.

**The item I scanned did not appear in the cart**
The barcode may have matched multiple items. Check the catalog - the matching items are filtered and shown. Tap the correct one.

**Sale completed but no receipt printed**
Check that the printer is connected and turned on. You can re-print from the POS Invoice in the back-office, or ask your manager.

## Best Practices

* Always link a customer at the start of the sale if they are a registered customer - they lose their loyalty points for that purchase if you use Walk-in
* If a customer pays by cash, always enter the exact amount received, not the amount due, so the change is calculated correctly
* If the customer wants a receipt but the printer is out of paper, complete the sale first, then refill the paper - you can reprint from the back-office
* Hold the cart rather than removing items if the customer steps away for a moment - it is faster to resume than to re-add everything
