# Navigation & Daily Monitoring

> How Professional Services teams use workspaces, dashboards, number cards, charts, and notifications to manage their day-to-day operations.

When you log in to Bizaxl, your workspace is your home base. It shows you everything that needs attention - pending approvals, overdue items, active workflows, and key metrics - without requiring you to search through individual records.

This page explains how teams across both Law Management and Insurance Management use the available tools to stay on top of their work.

## The Insurance Management Workspace

The Insurance Management workspace is the primary starting point for all insurance operations. It is organised into four zones.

### Zone 1 - Number Cards (Live KPI Counters)

Eight numbers update in real time throughout the day. These are the fastest way to spot what needs attention.

**How to use them:** Click any card to jump directly to the filtered list of records behind that number. No manual searching needed.

### Zone 2 - Workflow Pipeline

A visual diagram shows the three main process chains at a glance:

**Insurance Process:** Insurance Product → Policy Proposal → Insurance Policy → Premium Schedule → Sales Invoice

**Insurance Claim Process:** Insurance Claim → Journal Entry → Payment Entry

**Employee Insurance:** Insurance Policy → Insurance Member Request → Salary Slip

This pipeline is a reference map - it helps new team members understand how each record connects to the next.

### Zone 3 - Charts

Two charts give a portfolio-level view:

**Insurance Sum Assured by Company** (Donut chart) - Shows how your total coverage commitment is distributed across insurance providers. Use this in portfolio reviews or when assessing provider concentration.

**Insurance Product Policy Term** (Bar chart) - Shows which insurance products are generating the most proposals. Use this to spot high-demand and low-demand products.

### Zone 4 - Quick Access Cards

Three card groups give one-click access to every form in the module:

## The Law Management Workspace

Law Management uses a structured workspace with shortcuts and card groups organised around the legal workflow.

Navigation through Law Management follows the same pattern - the workspace provides links to all major forms (Clients, Matters, Cases, Appointments, Legal Documents, Library) grouped by function.

## Daily Monitoring by Role

### Customer Service Team - Start of Day

1. Check **Approved Proposals** card - any number greater than zero means proposals are waiting to be converted into policies. Do this first.
2. Check **Policies in KYC Pending** - if you initiated any KYC reviews yesterday, confirm they are progressing.
3. Open the Policy Proposal list, filter for **Proposal Status = Open**, and follow up on proposals that have been sitting too long.

### Insurance Billing Specialist - Start of Day

1. Check **Policies in KYC Pending** - this is your primary queue. Open each pending policy and complete verification.
2. Open Insurance Claims list, filter for **Claim Status = Submitted** - new claims waiting for review.
3. Check Premium Schedule list for any schedules with overdue instalments.

### Insurance Manager - Start of Day

1. Review open Policy Proposals (Proposal Status = Open) - approve or reject.
2. Check the **Rejected Policies** and **Rejected Proposals** cards - if these numbers keep growing, investigate why.
3. Check Insurance Claims with Claim Status = Approved - confirm payment is being processed.
4. Review the **Insurance Sum Assured by Company** chart periodically for portfolio balance.

### HR Team - As Needed

1. Check **Approved Member Requests** - confirm salary deductions are applied correctly in payroll.
2. Check **Rejected Member Requests** - ensure the employee was informed of the reason.
3. Open Insurance Member Requests list, filter for **Workflow State = Draft** - pending requests from employees.

### Accounts Team - Daily

1. Open Sales Invoices, filter for insurance instalments that are outstanding.
2. Open Payment Entries created from claims - process and finalise each draft payment.

## Monitoring Without Reports

Neither Law Management nor Insurance Management has custom-built reports on this site. Your primary monitoring tools are **list views with filters**.

### Useful Law Management Filters

  Save frequently used filter combinations by clicking the filter icon and selecting **Save**. Your saved filters appear every time you open that list - so your daily monitoring queue is one click away.

## Email Notifications

Two automated emails are sent by the Insurance Management module. Law Management does not currently have automated email notifications configured.

### New Insurance Policy Confirmation

**Trigger:** Insurance Policy is approved and submitted.
**Recipient:** Policyholder (at the email address on the policy).
**Content:** Applicant details, insurance company, product, sum assured, premium mode and amount, policy duration, and registered address.
**Action needed:** None - goes out automatically. If a policyholder says they didn't receive it, check the email field on their policy record.

### Premium Payment Reminder

**Trigger:** On the exact day a premium instalment is due.
**Recipient:** The customer linked to the premium schedule.
**Content:** Policy number, premium amount due, due date.
**Action needed:** None - goes out automatically. Note: this reminder only fires on the due date itself. Overdue instalments do not generate a second reminder - follow up manually.

  The payment reminder fires only on the instalment's due date. If the customer misses the payment and the due date passes, no further automatic reminder is sent. Build a manual follow-up process for overdue instalments.

## Print Formats

Insurance Policy records can be printed in two formats:

To print: Open the policy record → click **Print** → select format → preview or download as PDF.
