# Cases

> Create court cases within a matter, add parties, record hearings, file caveats and interim applications, and manage exhibits and witnesses.

**Upstream dependencies:** A Matter must exist before you can create a Case.

**Downstream:** Cases feed into Hearings (Case History), Caveats, Interim Applications, Exhibits, Witnesses, Legal Notices, and AI document analysis.

## Cases

A Case is a specific court proceeding within a matter. One matter can have multiple cases - for example, a main suit and a related execution petition.

### Create a Case

**Path:** Law Management → Case Management → Case → New

**Requires:** A matter must already be open. The relevant Service (court) must be configured in [Setup](/professional-services/law-management/setup).

| Field          | Description                                                      |
| -------------- | ---------------------------------------------------------------- |
| **Matter**     | The client file this case belongs to.                            |
| **Service**    | The court where the case is filed.                               |
| **Case No.**   | The court's assigned case number.                                |
| **Case Year**  | The year the case was filed.                                     |
| **CNR Number** | The Case Number Register identifier assigned by the court.       |
| **Case Title** | The title as it appears on court records (e.g. Smith vs. Jones). |

## Parties

Parties are the individuals or entities formally named in the case - your client, the opposing side, and any other named person. There is no separate party record: you enter party details directly on the Case, in a **Party Information** section split into two tables, one for each side of the case.

### Add Party Information to a Case

**Path:** Open the Case → Party Information section → Petitioner Details / Respondent Details → Add Row

**Petitioner Details** lists everyone on the filing side of the case. **Respondent Details** lists everyone on the opposing side. Both tables use the same fields:

| Field             | Description                                                              |
| ----------------- | ------------------------------------------------------------------------ |
| **Rank of Party** | Their formal role in the case (e.g. Petitioner, Respondent, Intervener). |
| **Party Name**    | Legal name of the individual or entity.                                  |
| **Address**       | Their address as it should appear on court records.                      |
| **Advocate**      | The lawyer representing this party.                                      |

## Case History (Hearings)

After every court hearing, log what happened in the Case History. This gives you a complete chronological record of the case's progress.

**Path:** Open the Case → Case History tab → Add Row

| Field                  | Description                                                                             |
| ---------------------- | --------------------------------------------------------------------------------------- |
| **Hearing Date**       | The date this hearing took place.                                                       |
| **Judge**              | Name of the presiding judge.                                                            |
| **Purpose of Hearing** | What the hearing was listed for (e.g. Arguments, Evidence, Mention, Framing of Issues). |
| **Business on Date**   | A short note on what actually happened on that date.                                    |
| **Business Details**   | Full notes - orders passed, directions given, what was argued.                          |
| **Next Hearing Date**  | The date fixed by the court for the next hearing.                                       |

## Caveats

A caveat is a pre-emptive court filing that ensures your client is heard before any order is passed against them. File one when you anticipate the other side may approach a court without giving notice.

**Path:** Law Management → Case Management → Caveat → New

**Requires:** A matter must exist. The relevant Service (court) must be configured.

| Field             | Description                                                         |
| ----------------- | ------------------------------------------------------------------- |
| **Matter**        | The matter this caveat relates to.                                  |
| **Petitioner**    | The party filing the caveat (usually your client).                  |
| **Respondent**    | The party expected to approach the court.                           |
| **Caveat Title**  | Title of the caveat petition.                                       |
| **Service**       | The court where the caveat is filed.                                |
| **Customer Name** | Auto-populated from the linked matter.                              |
| **Status**        | Active or Expired. Update to Expired when the caveat period lapses. |

## Interim Applications

An interim application (IA) is a request for temporary relief filed while the main case is pending - for example, a stay order, an injunction, or an attachment before judgment.

**Path:** Open the Case → Interim Applications tab → Add Row

| ------------------ | ---------------------------------------- |
| **IA No.**         | The court's number for this application. |
| **Applied Date**   | When the application was filed.          |
| **Party Applying** | Which party filed the application.       |
| **Details**        | What relief is being sought.             |
| **Result**         | Allowed, Dismissed, or Pending.          |
| **Decision Date**  | When the court ruled on it.              |

## Exhibits

An exhibit is a document or object admitted as evidence in the case.

| Field                      | Description                                                        |
| -------------------------- | ------------------------------------------------------------------ |
| **Exhibit No.**            | Court-assigned exhibit reference (e.g. Ex. P-1, Ex. R-1).          |
| **Date of Exhibit**        | When the exhibit was admitted into evidence.                       |
| **Description of Exhibit** | What the exhibit is - document name, nature, or brief description. |
| **Remark**                 | Any notes about its significance, condition, or objections raised. |

## Witnesses Examined

Record each witness who appeared and gave evidence.

**Path:** Open the Case → Witnesses Examined tab → Add Row

| **Witness No.**  | Sequential reference (e.g. PW-1 for Petitioner's Witness, DW-1 for Defendant's Witness). |
| **Witness Name** | Full name of the witness.                                                                |

## Court Forms

If you file an application using a standard court-prescribed form, record it here.

**Path:** Open the Case → Court Forms tab → Add Row

| Field              | Description               |
| ------------------ | ------------------------- |
| **Applied Date**   | When the form was filed.  |
| **Party Applying** | Which party submitted it. |
| **Details**        | What the form was for.    |

## Tips

* **Log hearings the same day** - details like the judge's name and what was transacted are easy to forget. A same-day entry takes two minutes and avoids errors later.
* **Fill in Party Information as soon as the Case is created** - having the Petitioner and Respondent Details tables complete before the first hearing avoids scrambling for names and addresses later.
* **Use Caveat status = Expired** to keep your active caveat list clean. Expired caveats should still be retained for the record but no longer appear as active.
* **Number exhibits consistently** - agree a firm-wide convention (e.g. Petitioner's documents as P-1, P-2; Respondent's as R-1, R-2) and apply it across all cases.
* **Record the Next Hearing Date in Case History** - this is what the team uses to track upcoming court dates. Keep it current after every hearing.
