# Feature Overview

> A complete list of every feature in CA Practice Management, who uses each one, and how it fits into the practice workflow.

CA Practice Management has 45 record types organised across nine functional areas. This page maps every feature to its purpose, primary users, and upstream and downstream dependencies.

## Client pipeline and intake

### Lead Management

Captures enquiries from prospective clients and moves them through a qualification pipeline until they are won and converted to a live engagement.

* **Who uses it:** CA Manager, CA Partner
* **Purpose:** Track the progress of every prospect without cold-calling (the system is inbound-only, in line with ICAI norms)
* **Upstream dependency:** None; this is the starting point
* **Downstream impact:** A won lead converts to a CA Engagement

### Client Engagement

The master record for every client relationship. Everything else in the system links back to the engagement. It stores the client's registrations (PAN, GSTIN, CIN, DIN), entity type, billing terms, portal access, and the list of statutory forms that apply.

* **Who uses it:** CA Manager (creates and manages), CA Staff and CS Executive (read and work from)
* **Purpose:** Single source of truth for a client's compliance profile
* **Upstream dependency:** CA Lead (for new clients) or direct creation
* **Downstream impact:** Creating an active engagement automatically generates the period's compliance tasks, GST trackers, and ROC filings

## Compliance management

### Compliance Task

The unit of work for any statutory filing or obligation. Each task is linked to a specific client engagement, statutory form, and due date. Tasks move through a defined workflow from creation to filing.

* **Who uses it:** CA Staff (works the task), CA Manager (reviews and marks as filed)
* **Purpose:** Track every filing deadline and the work being done against it
* **Upstream dependency:** CA Engagement and Compliance Task Template
* **Downstream impact:** Filing a task chains the next obligation automatically; also creates a CA Document Request when the task is created

### Compliance Task Template

Reusable master records that describe recurring statutory tasks: the form number, recurrence pattern, penalty per day, and how many days in advance to send a reminder.

* **Who uses it:** CA Manager (sets up and maintains), CA Partner (reviews)
* **Purpose:** Standardise how recurring obligations are created across all clients
* **Upstream dependency:** None
* **Downstream impact:** Powers the automatic generation of compliance tasks for all engagements

### Statutory Form Catalogue

A master library of approximately 62 statutory forms across TDS/TCS, ROC, Income Tax, and GST. Each form records its compliance head, periodicity, due date rule, penalty rule, and the next form it leads to when filed.

* **Who uses it:** CA Manager and CA Partner (reference and maintain)
* **Purpose:** Single source of truth for every form the firm files
* **Upstream dependency:** None
* **Downstream impact:** Drives the obligation engine, document templates, and the "leads-to" chaining logic

## Income tax

### Income Tax Computation

A full income tax computation for a client for one assessment year. Covers all heads of income (salary, house property, business, capital gains, other sources), deductions under Chapter VIA, old vs new regime comparison, surcharge, cess, interest under sections 234A/B/C, late fee under section 234F, and produces the ITR JSON ready for filing.

* **Who uses it:** CA Staff (prepares), CA Manager (reviews), CA Partner (approves and files), CA Client (reviews and e-approves via portal)
* **Purpose:** Produce an accurate, compliant income tax return for every individual, HUF, firm, LLP, or company client
* **Upstream dependency:** CA Engagement (for client details and PAN)
* **Downstream impact:** Can spawn a Tax Audit (Form 3CD) and a Filing Record once filed

### Tax Audit (Form 3CD)

Auto-generated from the linked income tax computation when the business turnover triggers the audit requirement under section 44AB. Contains all 3CD clauses pre-populated from the computation figures.

* **Who uses it:** CA Staff (reviews clauses), CA Partner (finalises and attaches)
* **Purpose:** Prepare and file the statutory tax audit report
* **Upstream dependency:** CA Income Computation (must be computed first)
* **Downstream impact:** Required before ITR can be filed for audit-applicable clients

### Advance Tax Planner

Estimates quarterly advance tax instalments for a client based on their current-year income projection. Generates a bulk Excel MIS for all clients at once.

* **Who uses it:** CA Manager, CA Partner
* **Purpose:** Help clients avoid interest under section 234B/C by paying advance tax on time
* **Upstream dependency:** CA Engagement and projected income data
* **Downstream impact:** Creates advance tax payment reminders

### Tax Configuration

Stores the statutory tax slabs, surcharge bands, and rebate rules for each assessment year and regime. Maintained by the system administrator; staff and managers never need to edit this.

* **Who uses it:** System Administrator (maintains), CA Staff and CA Partner (read-only via the computation engine)
* **Purpose:** Keep tax rates as data rather than hard-coded values so they can be updated each budget year
* **Upstream dependency:** None
* **Downstream impact:** Powers all income tax computations

## GST and indirect tax

### GST Return Tracker

Tracks the preparation, review, approval, and filing of every GST return for a client and period. Supports GSTR-1, GSTR-3B, GSTR-9, GSTR-9C, GSTR-4, and CMP-08. Includes ITC reconciliation between GSTR-2B and books.

* **Who uses it:** CA Staff (prepares data), CA Manager (submits for review), CA Partner (approves), CA Manager (files)
* **Purpose:** Manage the entire GST filing lifecycle and identify ITC mismatches before filing
* **Upstream dependency:** CA Engagement (GST-registered clients only)
* **Downstream impact:** Filing a GSTR-1 chains the GSTR-2B follow-up; filing GSTR-3B chains the next period

### ITC Reconciliation

Compares the Input Tax Credit available as per GSTR-2B against the ITC recorded in the client's books. Flags mismatches so they can be resolved before filing.

* **Who uses it:** CA Staff, CA Manager
* **Purpose:** Prevent ITC reversals and notices due to mismatches between GSTR-2B and books
* **Upstream dependency:** CA GST Return Tracker with 2B data imported
* **Downstream impact:** Clean reconciliation is required before GSTR-3B can be filed confidently

## TDS and TCS

### TDS Return

Prepares and tracks quarterly TDS and TCS returns: Form 24Q (salary), Form 26Q (non-salary), Form 27Q (non-residents), and Form 27EQ (TCS). Captures deductee lines, challan deposits, and validates that TDS deducted matches challans paid.

* **Who uses it:** CA Staff (prepares), CA Manager (reviews and files)
* **Purpose:** File accurate quarterly TDS/TCS returns and avoid late filing fees under section 234E
* **Upstream dependency:** CA Engagement (TDS deductor clients only)
* **Downstream impact:** Filing triggers Form 16/16A issuance task

## ROC and company law

### ROC Filing

Manages the end-to-end workflow for filing MCA/ROC statutory forms including AOC-4, MGT-7, ADT-1, DIR-12, DIR-3 KYC, LLP-11, LLP-8, and others. Tracks SRN receipt and MCA V3 readiness.

* **Who uses it:** CA Staff (drafts), CA Manager (reviews), CA Partner (sends for client approval), CA Manager (files and records SRN)
* **Purpose:** Ensure all company-law filings are made on time and the SRN is recorded for evidence
* **Upstream dependency:** CA Engagement (for company clients)
* **Downstream impact:** SRN received closes the obligation; chains the next annual filing

### Board Meeting

Records board meetings, AGMs, EGMs, postal ballots, and committee meetings. Tracks notice dispatch, quorum, agenda, minutes, resolutions, and SS-1/SS-2 compliance.

* **Who uses it:** CS Executive (drives the workflow), CA Partner (approves minutes)
* **Purpose:** Maintain a complete, compliant record of every meeting under the Companies Act and Secretarial Standards
* **Upstream dependency:** CA Engagement (for company clients)
* **Downstream impact:** Approved minutes trigger MGT-14 filing if required

### Secretarial Audit

Manages the secretarial audit process for listed and large companies. Includes a structured area-by-area checklist, qualifications, observations, and the final report attachment.

* **Who uses it:** CS Executive (conducts the audit), CA Partner (finalises and submits the report)
* **Purpose:** Comply with the requirement for a secretarial audit under section 204 of the Companies Act
* **Upstream dependency:** CA Engagement (listed / large companies)
* **Downstream impact:** Submitted report is filed with the ROC as part of MGT-7

### Statutory Register

Stores and versions the mandatory statutory registers that companies must maintain: Members (MGT-1), Directors and KMP, Charges, Contracts and RPT (MBP-4), Loans, and Investments.

* **Who uses it:** CS Executive (maintains), CA Manager (reviews)
* **Purpose:** Ensure the firm can produce up-to-date registers on demand during inspections or audits
* **Upstream dependency:** CA Engagement (for company clients)
* **Downstream impact:** Required reference during secretarial audit and ROC inspections

## Notices and assessments

### Notice Management

Tracks statutory notices received from Income Tax, GST, TDS, and ROC authorities. Manages the response deadline, demand amount, hearing dates, and final outcome.

* **Who uses it:** CA Staff (drafts response), CA Manager (reviews), CA Partner (finalises), CA Client (views client-visible notices on portal)
* **Purpose:** Ensure every notice is responded to on time and the outcome is recorded
* **Upstream dependency:** CA Engagement
* **Downstream impact:** Closed with a favourable outcome reduces the client's risk profile

## Documents, e-sign, and vault

### Document Request

A structured checklist of documents requested from a client for a specific filing. Created automatically when a compliance task is created. Tracks which documents have been received and maintains version history of each uploaded file.

* **Who uses it:** CA Staff and CA Manager (create and monitor), CA Client (uploads documents via portal)
* **Purpose:** Replace ad-hoc WhatsApp document collection with a tracked, version-controlled process
* **Upstream dependency:** CA Compliance Task (auto-created) or manual creation from CA Engagement
* **Downstream impact:** A fully received document request unblocks the related compliance task

### Digital Signature Certificate (DSC)

Tracks the DSC held for a client or firm personnel: class, serial number, validity period, and expiry status. Status updates automatically daily.

* **Who uses it:** CA Manager (monitors), CA Partner (acts on expiry)
* **Purpose:** Never miss a DSC renewal deadline, which would block filing
* **Upstream dependency:** CA Engagement
* **Downstream impact:** An expired DSC blocks electronic filing; the DSC Expiry Alert report flags renewals due within 60 days

### Portal Credentials Vault

Securely stores government portal login credentials (GST portal, MCA21, income tax e-filing) for each client. Credentials are encrypted and hidden in list views; only managers and partners can reveal them.

* **Who uses it:** CA Manager and CA Partner (access credentials when filing)
* **Purpose:** Safely store and retrieve filing credentials without sharing them in insecure channels
* **Upstream dependency:** CA Engagement
* **Downstream impact:** Required for electronic filing of GST returns and ROC forms

### E-Signature

Records the e-approval or OTP-based attestation when a client approves their income tax return or a filing. Captures the method (OTP, DSC), document hash, and timestamp.

* **Who uses it:** CA Client (initiates via portal), CA Manager (records outcome)
* **Purpose:** Create a tamper-proof audit trail of client approval before filing
* **Upstream dependency:** CA Income Computation (approval status track)
* **Downstream impact:** E-approval required before the manager can file the ITR

## Time tracking and billing

### Time Log

Records the time spent by a staff member on a specific compliance task: date, hours, activity type, and whether the time is billable. Feeds WIP, utilisation, and billing.

* **Who uses it:** CA Staff (logs time), CA Manager (reviews and bills)
* **Purpose:** Know exactly how many hours each client consumes so you can price accurately and bill fairly
* **Upstream dependency:** CA Compliance Task
* **Downstream impact:** Billable time logs are picked up by the billing engine and included in invoices

### Billing Engine

Generates GST-compliant Sales Invoices for the firm's professional fees. Supports monthly and quarterly retainer billing plus time-and-materials top-ups. Idempotent: running the billing job twice in a month never creates a duplicate invoice.

* **Who uses it:** CA Manager (reviews draft invoice), CA Partner (submits)
* **Purpose:** Ensure the firm gets paid accurately and on time for every engagement
* **Upstream dependency:** CA Engagement (fee structure), CA Time Log (unbilled hours)
* **Downstream impact:** Posted invoice appears in the client's portal billing section; client can pay online

## Reports and analytics

## Automation and reminders

Three automated engines run on a daily schedule:

* **Obligation Engine:** Generates compliance tasks, GST trackers, and ROC filings for all active engagements each period. Idempotent: re-running never creates duplicates.
* **Reminder Engine:** Sends deadline reminders to clients at T-7, T-3, T-1, due day, then weekly once overdue. Respects each client's preferred channel (Email, WhatsApp, or SMS) with an in-app fallback.
* **Escalation Engine:** Creates a high-priority to-do for the partner when any obligation is more than 7 days overdue.
