# Feature Overview

> Every feature in the Bizaxl clinic system - what it does, who uses it, and how it connects to the rest of your clinic workflow.

This page lists every feature available in the clinic system. For each one you can see the purpose, the team members who use it most, what needs to exist before you can use it, and what it creates or affects downstream.

## Patient Management

**What it does:** Stores every patient's personal details, medical history, allergies, current medications, and contact information in a permanent record.

**Primary users:** Reception, Healthcare Administrator

**Depends on:** Nothing - patients are the starting point for everything else

**Feeds into:** Appointments, Consultations, Lab Tests, Billing, Patient Portal

## Appointments

**What it does:** Books patients into specific time slots with a doctor, department, or service unit. Tracks the appointment through its lifecycle from Scheduled to Checked In to Closed.

**Primary users:** Reception, Patients (online booking)

**Depends on:** Patient record, Practitioner Schedule, Appointment Type

**Feeds into:** Consultation (Patient Encounter), Vital Signs, Billing

## Doctor Schedules

**What it does:** Defines when each doctor is available for appointments. The schedule is linked to the doctor's profile and controls which time slots can be booked.

**Primary users:** Healthcare Administrator

**Depends on:** Healthcare Practitioner record

**Feeds into:** Appointment booking (only available slots are offered)

## Consultations (Patient Encounter)

**What it does:** The doctor's complete record of a patient visit. Contains symptoms, diagnosis, drug prescriptions, lab test orders, clinical procedure orders, and therapy referrals - all in one document.

**Primary users:** Healthcare Practitioner (Doctor)

**Depends on:** Patient record, active Appointment (optional but usual)

**Feeds into:** Drug Prescriptions, Lab Test orders, Clinical Procedure orders, Service Requests, Medication Requests, Billing

## Vital Signs

**What it does:** Records physical measurements taken at each visit - temperature, blood pressure, heart rate, weight, height, BMI, and respiratory rate.

**Primary users:** Nursing User

**Depends on:** Patient record

**Feeds into:** Patient History (visible in the patient's complete timeline), Consultation

## Drug Prescriptions

**What it does:** Records the medications the doctor has prescribed - the drug name, dosage, frequency, and duration. Created inside the Consultation and can be printed or emailed to the patient.

**Primary users:** Healthcare Practitioner

**Depends on:** Consultation (Patient Encounter)

**Feeds into:** Patient History, Medication Request (for formal dispensing), Patient Portal (patients can view prescriptions online)

## Medication Requests

**What it does:** A formal medication order that can be sent to a pharmacy for dispensing. More structured than a prescription note - tracks quantity, repeats allowed, and billing status.

**Primary users:** Healthcare Practitioner, Pharmacy staff

**Depends on:** Drug Prescription (from Consultation)

**Feeds into:** Billing (billing status tracked per request)

## Clinical Procedures

**What it does:** Tracks minor medical procedures performed at the clinic - injections, dressings, ECG, suturing, nebulisation, and similar in-clinic treatments. Each procedure record shows the patient, the template used, the materials consumed, and the billing status.

**Primary users:** Healthcare Practitioner, Nursing User

**Depends on:** Clinical Procedure Template (setup), Patient record

**Feeds into:** Billing (procedures are billed separately), Patient History

## Laboratory

**What it does:** Manages the full lifecycle of a lab test - from the doctor's order through sample collection, result entry, approver review, and final report delivery to the patient.

**Primary users:** Laboratory User, LabTest Approver

**Depends on:** Lab Test Template (setup), Lab Test order from Consultation

**Feeds into:** Patient History, Billing

## Diagnostic Reports and Observations

**What it does:** Stores structured investigation results for imaging (X-ray, ultrasound, ECG), surveys, and other clinical observations. Diagnostic Reports group multiple Observations. Each Observation holds the actual result value and a reference range.

**Primary users:** Healthcare Practitioner, Laboratory User, Healthcare Administrator

**Depends on:** Observation Template (setup), Service Request

**Feeds into:** Patient History, Billing

## Clinical Notes

**What it does:** A free-text note that can be added to a patient's record at any time - without needing a formal appointment or consultation. Useful for adding context, follow-up notes, phone conversation summaries, and care plan updates.

**Primary users:** Healthcare Practitioner, Nursing User

**Depends on:** Patient record

**Feeds into:** Patient History

## Treatment Plan Templates

**What it does:** Pre-built care plan templates that combine a standard set of consultations, medications, lab tests, and procedures for a specific condition or patient type. Speeds up consultation documentation by auto-filling standard orders.

**Primary users:** Healthcare Administrator, Healthcare Practitioner

**Depends on:** Appointment Types, Lab Test Templates, Clinical Procedure Templates configured

**Feeds into:** Consultation (can be applied from within a Patient Encounter)

## Service Requests

**What it does:** A formal order issued by the doctor for a specific clinical service - a therapy, lab test, procedure, or referral. Links the order to the patient, the requesting practitioner, and the expected delivery date.

**Primary users:** Healthcare Practitioner

**Depends on:** Patient record, Consultation

**Feeds into:** Clinical Procedures, Therapy Sessions, Billing

## Fee Validity (Free Follow-ups)

**What it does:** When a patient pays for a consultation, the system creates a Fee Validity record. If the patient returns within the valid window, the follow-up consultation fee is waived automatically.

**Primary users:** Healthcare Administrator (configuration), Reception (monitoring)

**Depends on:** Paid Sales Invoice for a consultation

**Feeds into:** Appointment billing (waives the fee at next visit automatically)

## Inpatient Management

**What it does:** For patients admitted to the clinic, tracks the entire stay - bed assignment, nursing tasks, daily medication orders, doctor visits, and discharge.

**Primary users:** Healthcare Practitioner, Nursing User

**Depends on:** Healthcare Service Units (rooms and beds) configured, Inpatient admission ordered in a Consultation

**Feeds into:** Billing (inpatient bed charges, visit charges), Nursing Tasks, Inpatient Medication Orders

## Nursing Tasks

**What it does:** Specific care tasks assigned to nursing staff - vital signs monitoring, medication rounds, wound care, and discharge preparation. Each task has a status (Pending, Completed).

**Primary users:** Nursing User

**Depends on:** Inpatient Record (for inpatient nursing tasks)

**Feeds into:** Patient care record, Compliance (nursing checklists can be validated before discharge)

## Billing and Finance

**What it does:** Creates invoices for every service delivered - consultation, lab tests, procedures, inpatient stay. Tracks which services have been billed and which are pending.

**Primary users:** Healthcare Administrator, Reception

**Depends on:** Completed consultations, submitted lab tests, completed procedures

**Feeds into:** Payment collection, Accounts Receivable in BAS Finance module

## Patient Portal

**What it does:** Gives patients a self-service web interface to book their own appointments, view their prescriptions, check lab results, and update their personal details.

**Primary users:** Patients

**Depends on:** Patient account (invite sent from patient record), Appointments and Lab Tests submitted

**Feeds into:** Appointment booking (creates Patient Appointment records), Patient confidence and engagement

## WhatsApp and SMS Notifications

**What it does:** Sends automated appointment confirmations and reminders to patients via SMS or WhatsApp. Notifies patients when lab results are printed or emailed.

**Primary users:** System (automatic), Healthcare Administrator (configuration)

**Depends on:** Phone/mobile number on Patient record, Healthcare Settings configuration

**Feeds into:** Patient attendance rate (fewer no-shows with reminders)
