# Feature Overview

> Every feature in the Bizaxl eye care system - what it does, who uses it, and how it connects to the rest of your clinic workflow.

This page lists every feature available in the eye care system. For each one you can see the purpose, the team member who uses it most, what must exist before you can use it, and what it creates or affects downstream.

## Patient Management

**What it does:** Stores every patient's personal details, vision history, family history of eye conditions, current glasses/lens prescription, and contact information. The patient record is the permanent file that all examination records, investigation results, and prescriptions link back to.

**Primary users:** Front Desk, Healthcare Administrator

**Depends on:** Nothing - patients are the starting point

**Feeds into:** Appointments, Eye Examinations, Investigations, Billing, Patient Portal

## Appointments

**What it does:** Books patients into specific time slots with a specific doctor or optometrist. Different appointment types (Comprehensive Eye Examination, Refraction, Glaucoma Screening, Post-op Follow-up, Emergency Eye Appointment) can have different durations and billing items.

**Primary users:** Front Desk, Patients (online booking)

**Depends on:** Patient record, Practitioner Schedule, Appointment Type

**Feeds into:** Eye Examination (Patient Encounter), Pre-screening, Billing

## Doctor and Optometrist Schedules

**What it does:** Defines when each doctor and optometrist is available. Controls which time slots appear when booking an appointment and prevents double-booking.

**Primary users:** Healthcare Administrator

**Depends on:** Healthcare Practitioner record

**Feeds into:** Appointment booking (only open slots are offered)

## Eye Examination (Patient Encounter)

**What it does:** The doctor or optometrist's complete record of a patient visit. Records the chief complaint (blurry vision, eye pain, floaters), visual acuity findings, diagnosis (cataract, glaucoma, refractive error, dry eye, etc.), optical prescription, investigation orders, and procedure orders - all in one document.

**Primary users:** Healthcare Practitioner (Ophthalmologist, Optometrist)

**Depends on:** Patient record, Appointment (usual starting point)

**Feeds into:** Optical Prescription, Clinical Investigation orders, Lab Test orders, Surgical Procedure orders, Billing

## Optical Prescriptions

**What it does:** Records the spectacle or contact lens prescription issued at the end of an eye examination. Captures sphere, cylinder, axis, and reading addition for each eye, along with pupillary distance. Prescriptions are stored permanently and can be printed, emailed, or viewed by the patient on the portal.

**Primary users:** Healthcare Practitioner (Ophthalmologist, Optometrist)

**Depends on:** Eye Examination (Patient Encounter)

**Feeds into:** Patient History, Patient Portal (patients view prescriptions online)

## Visual Acuity Recording

**What it does:** Records the patient's vision measurements - both without correction (unaided) and with their current glasses (corrected) - for distance and near. These measurements are recorded as part of the eye examination and as structured observations for trend tracking.

**Primary users:** Ophthalmic Nurse, Ophthalmic Technician, Optometrist

**Depends on:** Patient record

**Feeds into:** Eye Examination, Patient History

## Clinical Investigations

**What it does:** Tracks all clinical investigations performed at the eye care center - intraocular pressure measurement (tonometry), OCT (Optical Coherence Tomography), fundus photography, visual field testing, color vision testing, corneal topography, pachymetry, and biometry. Each investigation is linked to the examination that ordered it.

**Primary users:** Ophthalmic Technician, Ophthalmologist

**Depends on:** Eye Examination (where investigations are ordered), Clinical Procedure Templates

**Feeds into:** Patient History, Diagnosis (investigation results inform diagnosis), Billing

## Diagnostic Reports and Observations

**What it does:** Stores structured results for imaging-based investigations - OCT reports, fundus photographs, fluorescein angiography, visual field printouts. Results can be text interpretations, numeric values, or attached image files. The Diagnostic Report groups multiple related observations into one document.

**Primary users:** Ophthalmologist, Ophthalmic Technician

**Depends on:** Observation Templates (setup), Service Request

**Feeds into:** Patient History, Follow-up planning, Billing

## Pre-operative Assessment

**What it does:** Before any eye surgery, a structured pre-operative assessment is completed: biometry for cataract IOL calculation, corneal measurements, general health checks, and consent documentation. These are recorded as clinical procedures or observations linked to the surgical record.

**Primary users:** Ophthalmologist, Ophthalmic Nurse

**Depends on:** Confirmed surgical plan, Patient record

**Feeds into:** Surgical Procedure record, Inpatient Record (if admitted), Billing

## Surgical Procedures

**What it does:** Records any surgical or interventional procedure performed at the eye care center - cataract surgery (phacoemulsification), LASIK, YAG laser, intravitreal injections, minor lid surgeries (chalazion excision, ptosis repair), squint surgery, and glaucoma procedures. Pre-operative nursing checklists and post-operative care notes are linked to each surgical record.

**Primary users:** Ophthalmologist, Ophthalmic Nurse

**Depends on:** Clinical Procedure Template (setup), Patient record, Pre-op assessment completed

**Feeds into:** Post-operative follow-up appointment, Inpatient Record (if admitted), Billing

## Inpatient/Day Surgery Management

**What it does:** Manages patients who stay overnight or for a day procedure. Tracks which bed or bay the patient is in, nursing tasks, surgical notes, and the discharge process with post-operative instructions.

**Primary users:** Ophthalmologist, Ophthalmic Nurse

**Depends on:** Healthcare Service Units (beds and bays) configured, Inpatient admission ordered in an examination

**Feeds into:** Post-operative nursing care, Billing (bed charges, visit charges)

## Laboratory

**What it does:** Manages pre-operative blood tests and other investigations: blood sugar, blood pressure readings, CBC, urine routine, and conjunctival swab cultures. Tracks the full cycle from order to sample collection to result entry and approval.

**Primary users:** Laboratory User, LabTest Approver

**Depends on:** Lab Test Template (setup), Lab Test order from Eye Examination

**Feeds into:** Patient History (results), Pre-op clearance, Billing

## Clinical Notes

**What it does:** Free-text notes added to a patient's record at any time - follow-up observations, phone call notes, alerts about a patient's condition, or any information that does not fit into a formal examination record.

**Primary users:** Ophthalmologist, Optometrist, Ophthalmic Nurse

**Depends on:** Patient record

**Feeds into:** Patient History

## Fee Validity (Free Follow-ups)

**What it does:** When a patient pays for a consultation, the system creates a fee validity record. If the patient returns for a follow-up within the configured window, the follow-up consultation fee is waived automatically.

**Primary users:** Healthcare Administrator (configuration), Front Desk (monitoring)

**Depends on:** Paid Sales Invoice

**Feeds into:** Appointment billing (auto-waives fee at next visit)

## Billing and Finance

**What it does:** Creates invoices for every service: eye examination, refraction, clinical investigations, optical dispensing, surgical procedures, pre-operative assessments, and post-operative follow-ups. Tracks what has and has not been billed.

**Primary users:** Healthcare Administrator, Front Desk

**Depends on:** Completed and submitted clinical records

**Feeds into:** Payment collection, Finance module in BAS

## Patient Portal

**What it does:** Gives patients online access to their appointment bookings, spectacle prescriptions, lab results, and personal details.

**Primary users:** Patients

**Depends on:** Patient portal account (activated from the Patient record)

**Feeds into:** Appointment bookings (creates records from patient side)
