# Reports Overview

> Standard reports and dashboard charts available in the Diagnostic and Scan Centre system for tracking appointments, scan volumes, lab test throughput, and billing status.

The reports section gives centre managers and administrators a real-time view of operations: how many patients came in today, which scans are in progress, which completed investigations still need to be invoiced, and overall service volume trends.

## Dashboard Number Cards

These appear at the top of the workspace and update in real time.

| Card                 | What It Counts                                                  | Who Uses It              |

| Total Consultations  | All Patient Encounter records in the system                     | Centre Manager           |
| Total Patients       | All registered patient records                                  | Healthcare Administrator |
| Open Appointments    | Appointments in "Scheduled" or "Open" status (not yet attended) | Receptionist             |
| Appointments to Bill | Completed appointments that have not yet been invoiced          | Receptionist, Finance    |

The **Appointments to Bill** card is the most operationally important: it should reach zero before the counter closes each evening.

## Dashboard Charts

Open the Healthcare Dashboard (via the shortcut at the top of the workspace) to view these charts.

### Patient Appointments

Shows appointment volume over time, grouped by day. Use this to identify peak days and plan staffing levels.

### Clinical Procedures

Shows the number of scan procedures (CT, MRI, USG, X-Ray) completed each day or week. Useful for understanding which scan type is in highest demand.

### Clinical Procedures Status

Shows a breakdown of scan procedure records by their current status:

* **Initiated** - the scan appointment is booked, the procedure record has been created
* **In Progress** - the scan is actively being performed
* **Completed** - the scan is done and the result image has been attached

This chart helps supervisors spot if any scans are stuck in "In Progress" and need attention.

### Lab Tests

Shows the volume of blood test orders over time. Compare this against Clinical Procedures volume to understand the balance between imaging and pathology demand.

## Standard Reports (via BAS)

The full BAS reporting suite is available from the Reports module. Useful reports for the diagnostic centre include:

### Appointment Reports

| Appointment No Show Report    | Patients who booked but did not attend                         |

### Clinical Procedure Reports

## Tips for Daily Reporting

* Check the **Appointments to Bill** number card at the end of every session. If it is greater than zero, there are completed visits without invoices.
* Use the **Clinical Procedures Status** chart to follow up on any scan that has been "In Progress" for an unusually long time.
* At the start of every month, run the **Patient Appointment Analytics** report for the previous month to review volume by scan type and plan consumable ordering accordingly.
