# Feature Overview

> A summary of every module available in the dental clinic system, who uses each feature, and how the features connect to each other.

The dental clinic system is built on the Bizaxl Healthcare platform. The features below are all available from the Healthcare workspace and work together as a single connected record system.

## Patient Management

**Who uses it:** Healthcare Administrator, Dentist

Stores every patient's demographic details, medical history (medical conditions, medications, allergies, blood group), dental history, and a complete timeline of every visit. The system creates a customer record linked to each patient for billing purposes.

**Feeds into:** All other modules. Every appointment, examination, procedure, and invoice is linked back to the patient record.

## Appointment Scheduling

**Who uses it:** Healthcare Administrator, Dental Receptionist

Manages the daily appointment book across all chairs and practitioners. Supports multiple appointment types (new patient exam, recall, restorative, surgical, orthodontic, hygiene), recall scheduling, and automated confirmation and reminder SMS messages.

**Requires:** A registered patient. Healthcare Practitioner and Practitioner Schedule must be configured.

**Feeds into:** Patient Encounter, Billing.

## Dental Examination (Patient Encounter)

**Who uses it:** Dentist, Dental Hygienist

The chairside record where the dentist documents findings from the clinical examination: tooth-by-tooth status, periodontal findings, soft tissue assessment, missing and existing restorations, caries, and treatment recommendations. Prescriptions, X-ray orders, and clinical procedure orders are raised from this record.

**Requires:** A Patient Appointment must be booked and the patient checked in.

**Feeds into:** Clinical Procedures, Radiography Orders, Prescriptions, Treatment Planning.

## Treatment Planning

**Who uses it:** Dentist

Converts examination findings into a proposed sequence of procedures. A treatment plan lists every recommended procedure with priority, estimated cost, and sequence. Patients can be given a printed treatment plan for consent and payment planning.

**Requires:** A completed Dental Examination.

**Feeds into:** Individual Clinical Procedure appointments.

## Dental Treatments (Clinical Procedures)

**Who uses it:** Dentist, Dental Nurse

Records every clinical procedure performed: fillings, extractions, root canal treatment, crown and bridge procedures, scaling and polishing, and any other treatment delivered in the chair. Each procedure is linked to a procedure template with a billing item and consumable list.

**Requires:** A Clinical Procedure Template must be set up for each procedure type.

**Feeds into:** Billing, Lab Orders (for crown/bridge procedures).

## Dental Radiography (Observations and Diagnostic Reports)

**Who uses it:** Dentist, Dental Nurse

Documents X-ray findings for OPG (panoramic), IOPA (periapical), and bitewing radiographs. Findings are recorded as Observations against structured Observation Templates. Diagnostic Reports compile the findings and can be shared with the patient or referring practitioner.

**Requires:** Clinical Procedure Templates for X-ray procedures.

**Feeds into:** Treatment Planning, Clinical Procedure records (as justification for treatment).

## Dental Laboratory Orders

**Who uses it:** Dentist, Healthcare Administrator

Tracks dental laboratory work sent out for fabrication: crowns, bridges, full and partial dentures, orthodontic models, custom trays, and retainers. Lab orders record the impression date, laboratory name, expected return date, shade, and material. The system tracks whether the work has been received back and is ready for fitting.

**Requires:** An active patient and a clinical procedure in progress requiring lab work.

**Feeds into:** Fit/Delivery appointments (crown fitting, denture delivery, retainer fit).

## Prescriptions

**Who uses it:** Dentist

Records medications prescribed after dental procedures or for dental infections: antibiotics (Amoxicillin, Metronidazole), anti-inflammatories (Ibuprofen, Diclofenac), analgesics (Paracetamol), and mouthwashes. Prescriptions can be printed for the patient and are stored in the patient's medical history.

**Requires:** A submitted Patient Encounter.

**Feeds into:** Patient history timeline, patient portal.

## Oral Surgery (Clinical Procedures - Surgical)

**Who uses it:** Dentist (Oral Surgeon / General Dentist with surgical competency)

Documents tooth extractions (simple and surgical), impacted wisdom tooth removal, pre-implant surgical procedures (bone grafting, sinus lift), and implant placement. Includes pre-operative consent records and post-operative nursing care instructions.

**Requires:** Surgical procedure templates, consent templates.

**Feeds into:** Post-operative follow-up appointments, Billing.

## Orthodontics (Clinical Procedures - Orthodontic)

**Who uses it:** Orthodontist, Dental Nurse

Tracks orthodontic treatment progress across multiple adjustment appointments. Records the current arch wire size, bracket positions, tooth movement, aligner number (for clear aligner systems), and next visit instructions. Retainer fitting and review appointments are also documented here.

**Requires:** An active orthodontic treatment plan.

**Feeds into:** Recall scheduling for regular adjustments.

## Laboratory Tests

**Who uses it:** Laboratory User, Dentist

For pre-surgical patients, blood tests may be required before oral surgery under sedation or general anaesthesia (blood glucose, full blood count, clotting profile for anticoagulated patients). Lab tests are ordered from the patient encounter and tracked to completion.

**Requires:** A Patient Encounter.

**Feeds into:** Surgical procedure clearance.

## Inpatient Management (Sedation Cases)

**Who uses it:** Dentist, Nursing User, Healthcare Administrator

For patients receiving dental treatment under intravenous sedation or general anaesthesia, the inpatient module tracks admission, care during the procedure, and safe discharge. Day procedure bays are assigned, pre-procedure nursing checklists are completed, and the patient is discharged when clinically safe.

**Requires:** Healthcare Service Units (procedure bays, recovery area) configured.

**Feeds into:** Billing.

## Billing and Finance

**Who uses it:** Healthcare Administrator

Every procedure, X-ray, lab test, and consultation is linked to a billing item. The front desk creates sales invoices from the completed clinical records and collects payment. Insurance claims, corporate account billing, and treatment plan payment splits are all managed here.

**Requires:** Billing items must be linked to all procedure and appointment type templates.

**Feeds into:** Financial reports, payment entries.

## Patient Portal

**Who uses it:** Patient

Patients can view their upcoming appointments, download prescriptions, see X-ray reports (Diagnostic Reports), and manage their personal details through the portal. Portal access is granted via an invitation from the clinic.

**Requires:** Patient portal enabled and patient email address on file.

**Feeds into:** Appointment booking (patient self-service, if enabled).

## Automation and Scheduling

**Who uses it:** System (runs automatically)

The system runs several automated tasks without any manual action required:

* Appointment confirmation SMS sent when an appointment is booked
* Appointment reminder SMS sent a configurable time before the appointment
* Daily update of appointment statuses (Scheduled appointments past their time become Open)
* Daily update of fee validity expiry for follow-up consultations

**Requires:** SMS gateway configured in Healthcare Settings.

**Feeds into:** Patient communication, appointment status accuracy.

## Reports and Analytics

**Who uses it:** Healthcare Administrator, Dentist

Built-in reports and dashboard charts show appointment volumes, procedure counts, diagnosis trends, and billing summaries. Use these to track chair utilisation, common treatment needs, and outstanding invoices.

**Requires:** Clinical data to be entered.

**Feeds into:** Operational and financial planning.
