# Reports & Dashboards

> Every report, dashboard chart, and monitoring tool available in Bizaxl College Management - what each one shows, who uses it, and what decisions it supports.

Bizaxl College Management gives you 10 built-in reports covering attendance, examinations, fees, and contacts - plus 3 dashboard charts in the LMS workspace. All reports support filters, can be exported to Excel, and are accessible from the Education workspace with no configuration needed.

## How to Access Reports

All reports are in the **Education workspace** under labelled cards:

## Live Indicators - Workspace Shortcuts

Before running any report, the workspace shortcuts give you instant live counts:

## Attendance Reports

### 1. Absent Student Report

**Purpose:** Lists every student who was marked Absent within your chosen date range.

**Business question answered:** Which students were absent? On which dates? How often have they been absent?

**Who uses it:**

* Pastoral staff and student welfare coordinators (weekly check)
* Instructors reviewing absences in their own classes
* Academic administrators preparing attendance warning letters

**Typical use case:** Every Monday morning, the student welfare coordinator runs this report for the previous week. Students who were absent on three or more days are flagged for a follow-up call to check on their wellbeing.

**Decision it supports:** Early identification of at-risk students; triggering absence warning communications; pastoral intervention before problems escalate.

**How to run it:** Education workspace → Attendance Reports card → Absent Student Report

**Key filters:** Date From, Date To, Student Group, Course

### 2. Student Monthly Attendance Sheet

**Purpose:** A month-by-month grid showing each student's daily attendance - Present (P), Absent (A), or On Leave (L) - with totals at the end of each row.

**Business question answered:** What was this student's (or this group's) complete attendance record for the month?

**Who uses it:**

* Registrar for official monthly attendance records and filing
* Instructors reviewing a specific student's pattern
* Management checking whether groups meet the minimum attendance requirement
* Parents requesting attendance documentation

**Typical use case:** On the last working day of each month, the registrar generates this report for every student group and saves it as the official attendance record. Any student below 75% attendance is listed for an academic review meeting.

**Decision it supports:** Regulatory compliance documentation; attendance warning letters; parent meetings; academic board presentations.

**How to run it:** Education workspace → Attendance Reports card → Student Monthly Attendance Sheet (also available as a workspace shortcut)

### 3. Student Batch-Wise Attendance

**Purpose:** Summarises attendance rates at the student group level - showing the overall attendance percentage for each group over a selected period.

**Business question answered:** Which classes or batches have the lowest attendance? Are there entire groups performing poorly?

**Who uses it:**

* Academic administrators comparing attendance across groups
* Department heads reviewing departmental attendance data
* Management reporting to the academic board

**Typical use case:** At the end of the term, the academic director reviews this report. Groups with attendance below 75% trigger a departmental review - is there a scheduling problem, an instructor engagement issue, or a cohort at risk?

**Decision it supports:** Resource allocation decisions; identifying systemic issues in specific groups; management reporting.

**How to run it:** Education workspace → Attendance Reports card → Student Batch-Wise Attendance

## Assessment Reports

### 4. Course Wise Assessment Report

**Purpose:** Shows all assessment results for a specific course - one row per student - with scores for each assessment criterion, total score, and final letter grade.

**Business question answered:** How did each student perform in this course's assessments? What is the grade distribution?

**Who uses it:**

* Instructors reviewing class performance after marking
* Academic administrators compiling results for publication or the results board
* Programme coordinators checking course-level academic outcomes

**Typical use case:** After the final examination, the lecturer runs this report for their course before submitting results to the registrar. They can see who passed, who needs re-examination, and whether the overall grade distribution is normal.

**Decision it supports:** Identifying failing students for supplementary assessments; grade moderation review; academic board reporting; student recognition for high performance.

**How to run it:** Education workspace → Assessment Reports card → Course Wise Assessment Report

### 5. Final Assessment Grades

**Purpose:** Shows a student's grades across all assessments taken in a selected term or year - an aggregated summary of their complete academic performance.

**Business question answered:** What is each student's overall academic standing for the term? Who passed, who failed, who excelled?

**Who uses it:**

* Registrar preparing official semester/year-end results
* Academic board reviewing progression decisions
* Management preparing institutional performance statistics

**Typical use case:** At the end of each semester, the registrar runs this report for all student groups and presents it to the academic board. Students below the pass threshold are reviewed for supplementary exams or academic probation.

**Decision it supports:** Progression to next year; academic probation; early withdrawal recommendations; graduation eligibility.

**How to run it:** Education workspace → Assessment Reports card → Final Assessment Grades

**Key filters:** Student Group, Academic Year, Academic Term

### 6. Assessment Plan Status

**Purpose:** Lists all Assessment Plans and shows whether results have been entered (completed) or are still missing (pending).

**Business question answered:** Which scheduled exams still have no results? Are we on track to publish results by the deadline?

**Who uses it:**

* Academic administrators chasing incomplete result entry
* Registrar managing the results publication deadline
* Department heads monitoring their faculty's completion rate

**Typical use case:** Two weeks before the official results board meeting, the registrar runs this report. Any Assessment Plan with no submitted results triggers a follow-up email to the responsible instructor, reminding them to enter marks.

**Decision it supports:** Ensuring all results are captured before publication deadlines; accountability for result entry; workload monitoring.

**How to run it:** Education workspace → Assessment Reports card → Assessment Plan Status

## Fee Reports

### 7. Student Fee Collection

**Purpose:** Shows each student's fee status - total billed, amount paid, and outstanding balance - along with the due date and programme.

**Business question answered:** Which students have unpaid or partially paid fees? How much is outstanding across the institution?

**Who uses it:**

* Finance officers running weekly collection reviews
* Accounts managers preparing overdue collection lists
* Management reviewing revenue health

**Typical use case:** Every Friday, the accounts officer runs this report filtered to outstanding balance > 0 and exports it to Excel. The list is used to send reminder emails or make phone calls to students and guardians with overdue payments.

**Decision it supports:** Fee follow-up actions; academic hold decisions; financial forecasting; cash flow management.

**How to run it:** Education workspace → Fee Reports card → Student Fee Collection

### 8. Programme Wise Fee Collection

**Purpose:** Summarises fee collection by programme - total billed, collected, and outstanding for each programme in the system.

**Business question answered:** Which programmes are collecting fees well? Which have high outstanding balances? What is the collection rate across programmes?

**Who uses it:**

* Finance Manager for monthly management accounts
* Management reviewing programme-level financial performance
* Leadership making programme viability decisions

**Typical use case:** On the last day of each month, the finance manager runs this report and includes it in the management accounts pack - showing tuition revenue by programme, the percentage collected, and the outstanding amount.

**Decision it supports:** Programme financial performance reporting; management accounts; decisions about fee levels, payment plans, and scholarship allocation.

**How to run it:** Education workspace → Fee Reports card → Programme Wise Fee Collection

## Contact Reports

### 9. Student and Guardian Contact Details

**Purpose:** Produces a complete contact list for all enrolled students - including student email, mobile, and linked guardian names and contact details in one downloadable view.

**Business question answered:** How do we reach each student and their family? Do all records have valid contact details?

**Who uses it:**

* Admissions team auditing contact records at the start of term
* Communications team for bulk correspondence
* Pastoral team for emergency contact information

**Typical use case:** On the first day of each new academic year, the admissions team exports this report and checks that every enrolled student has a valid email address and at least one guardian with contact details. Missing records are flagged and students are asked to update their information.

**Decision it supports:** Communication planning; emergency contact readiness; data quality assurance before sending bulk communications.

**How to run it:** Education workspace → Other Reports card → Student and Guardian Contact Details

## LMS Dashboard Charts

The LMS workspace includes three trend charts that show platform engagement over time:

### 10. Certification Chart

**What it shows:** Number of certificates issued per period (month/week)
**Question answered:** Is our certification programme growing? Are learners completing the full learning journey?
**Decision supported:** Evaluator resource allocation; certification marketing; curriculum quality review

### 11. Signups Chart

**What it shows:** Number of new user registrations per period
**Question answered:** Is the learner community growing? What drives signup peaks?
**Decision supported:** Marketing effectiveness; platform growth planning

### 12. Enrollments Chart

**What it shows:** Number of new course enrolments per period
**Question answered:** Are learners actively starting new courses? What triggers enrolment activity?
**Decision supported:** Course promotion; platform engagement analysis

## How to Export Any Report

All reports can be exported to Excel or CSV:

1. Run the report with your chosen filters
2. Click the **⋮ Menu** icon in the top-right of the report toolbar
3. Select **Export**
4. Choose **Excel** or **CSV**
5. The file downloads immediately

The export includes all data matching your filter, not just what is visible on screen.
