# Assessment Plans

> How to plan an exam or assessment - defining which student group is being tested, which course it covers, when it happens, and how marks are divided.

An Assessment Plan is the official record that an exam is happening. It specifies everything about the assessment before it takes place: which class, which subject, when, in which room, who is examining, and how marks are distributed. Once the exam is done, results are entered against this plan.

## Before You Start

Before creating an Assessment Plan:

* **Grading Scale** must be set up
* **Assessment Criteria** must be defined (marking breakdown)
* **Assessment Group** should exist (type of exam)
* **Student Group** must exist with students assigned
* **Course** must be set up

## How to Create an Assessment Plan

1. Go to **Education workspace → Assessment card → Assessment Plan**
2. Click **New**
3. Fill in all required fields (see Field Guide below)
4. Add the marking breakdown in the **Assessment Criteria** table
5. Click **Submit**

## Field Guide - Assessment Plan

### Core Details

### Assessment Criteria Table

This table defines how the total marks are divided:

| **Maximum Score**       | Yes      | Maximum marks for this specific criteria                    |

**Example:** An assessment with maximum 100 marks might have:

* Theory Paper: 70 marks
* Practical Exam: 30 marks

Total must equal (or can be validated against) the Maximum Assessment Score.

## The Assessment Plan Status Workflow

An Assessment Plan goes through two stages:

| Status        | What It Means                                                   |
| ------------- | --------------------------------------------------------------- |
| **Draft**     | Plan is being set up; results cannot yet be entered             |
| **Submitted** | Plan is finalised; results can now be entered against this plan |

You must **Submit** the Assessment Plan before you can enter results for it.

## Monitoring Which Plans Have Results

The **Assessment Plan Status** report shows which assessment plans have results entered and which are still pending:

1. Go to **Education workspace → Assessment Reports card → Assessment Plan Status**
2. Filter by Academic Year, Term, or Student Group
3. Look for plans with no results - these need follow-up with the responsible instructor

This report is especially useful in the two weeks before results publication, when you need to ensure all instructors have entered their marks.

## Best Practices

**Submit Assessment Plans well before the exam.** Instructors need the plan to exist in submitted status before they can enter results. If the plan is still in draft on results day, there will be a delay.

**Set the Maximum Assessment Score accurately.** The grading scale converts scores to grades based on the percentage of the maximum score. If the maximum is set incorrectly, all grades will be wrong.

**Use Assessment Groups to organise plans.** If you run three Assessment Plans for the same course (Internal, Mid-Term, Final), using Assessment Groups makes it easy to filter and identify them in reports.

**Create all plans for a term at the start of the term.** Having plans in place early means instructors know the exam schedule, rooms can be booked, and the Assessment Plan Status report shows a complete picture from day one.

## Troubleshooting

**Cannot enter results for this plan:** Check the plan's status - it must be Submitted, not Draft. Click Submit on the Assessment Plan and then try entering results.

**Plan is not appearing in the Assessment Result Tool:** Confirm the Assessment Plan is submitted. Also check the Academic Year and Student Group filters in the Assessment Result Tool match the plan.

**Grading Scale is not calculating grades:** Ensure the Grading Scale is linked to the Assessment Plan. If the field is blank, grades will not be computed.
