# Introduction

> A complete guide to managing your institution's academic operations - from the first student application through to graduation. Covers admissions, enrolment, timetabling, attendance, assessments, and fee collection.

Running a college or school means keeping hundreds of moving parts in sync every day. Applications need to be reviewed. Students need to be enrolled. Classes need to be scheduled. Attendance has to be recorded. Exams have to be planned, results entered, and reports produced. Fees need to be billed and collected.

When any one of these processes breaks down - a fee invoice goes to the wrong student, attendance data gets lost, a results record is missing - the whole institution feels it. Staff spend hours fixing errors instead of supporting students.

**College Management in Bizaxl puts all of this in one place.** It is a complete academic administration system built for colleges, schools, universities, and training centres. Every process - from the day a student applies to the day they graduate - is handled in a structured, connected system where each step feeds naturally into the next.

## What Problem Does This Solve?

Most educational institutions manage their operations through a mix of spreadsheets, paper registers, and disconnected software tools. Admissions happen in one place. Fees get tracked in another. Attendance is a paper register. Assessment results live in a faculty spreadsheet. None of these systems talk to each other.

This creates problems:

* **Enrolment errors** - a student who applied is not enrolled, or is enrolled in the wrong programme
* **Fee billing failures** - invoices go to wrong amounts, wrong students, or never get sent
* **Attendance gaps** - records are missing, inconsistent, or impossible to audit
* **Assessment confusion** - results are late, incorrectly graded, or not linked to the right student
* **Staff duplication** - the same data is entered multiple times in different systems

College Management solves this by connecting all of these operations into a single, consistent system. When a student is admitted, their record is created once. When they are enrolled, their fees are generated automatically. When their class is scheduled, attendance can be taken directly from that timetable. When results are entered, grades are calculated automatically.

## The Complete Business Lifecycle

College Management supports a student's full journey through your institution:

<Steps>
  <Step title="Admission">
    Prospective student submits an application (online or in person). The
    admissions team reviews and approves it, and a student record is created from
    the approved application.
  </Step>

  <Step title="Enrolment">
    The student is enrolled in a programme and the Programme Enrolment is
    submitted. Fee records are generated automatically and the student is assigned
    to a student group (class).
  </Step>

  <Step title="Academic delivery">
    The class schedule is built for the term. Instructors take attendance each
    session, and students can apply for leave when absent.
  </Step>

  <Step title="Assessment">
    Assessment plans are created for each course. Students sit exams or submit
    coursework, instructors record results against the grading scale, and grades
    are auto-calculated and assigned.
  </Step>

  <Step title="Fee collection">
    Fee invoices are sent to students and guardians, payment links are emailed
    automatically, payments are recorded in the accounting system, and outstanding
    balances are tracked.
  </Step>

  <Step title="Reporting and review">
    Attendance, assessment, and fee reports are run. Management reviews
    institutional performance, and students at risk are identified and supported.
  </Step>

  <Step title="Progression / exit">
    The student progresses to the next year or graduates. A new programme
    enrolment is created for the next year. On exit, leaving details are recorded,
    the student is marked inactive, and a leaving certificate is issued.
  </Step>

## How Does It Connect to the Rest of Bizaxl?

College Management does not work in isolation. It connects to:

* **Bizaxl Accounting (BAS)** - Fee invoices become Sales Invoices in the accounting system. Outstanding amounts are tracked automatically. Revenue is posted to the correct accounts.
* **LMS (Learning Management)** - Students enrolled in a programme can access online course content, quizzes, and live classes through the LMS. The student record is shared between both systems.
* **HR Management** - Instructors can be linked to Employee records in HRMS, connecting teaching schedules to HR data.
